Editing Meeting Details and Adding Attendees

You can edit the details of a meeting and change the date and time of the meeting at any time by opening the Meeting dialog box. Opening the Meeting dialog box also allows you to add attendees to the meeting.

Follow these steps:

  1. In the Calendar folder, select the meeting date in the Monthly Calendar pane (any date that has scheduled appointments or meetings will be in bold on the Monthly Calendar pane). After you've opened the appropriate day, locate your appointment and double-click it to open it.

  2. You can edit any information on the Appointment or Scheduling tabs. To see which contacts have responded to your meeting invitation , click the Tracking tab (see Figure 13.4).

  3. You can also add additional attendees to your meeting. On either the Appointment tab or the Scheduling tab of the Meeting dialog box, use the To or Add Others buttons , respectively, to open the Select Attendees and Resources dialog box.

  4. Open the Show Names From The drop-down list and choose either Contacts or another address book (you can also add a new record to the selected address book by clicking the New button; see Lesson 10, "Using the Outlook Address Books," for more information).

  5. Select any name in the list on the left side of the dialog box and click the Required or Optional button to specify attendance requirements.

  6. Click the New button to add resources to the list; then remember to notify the person who is in charge of those resources of your meeting.

  7. Click OK to close the dialog box and add the new attendees to your list.

When you have finished editing the meeting and/or adding new attendees, click the Save and Close button on the meeting's toolbar. A message box appears asking you whether you want to send the new meeting details to your original and added attendees.

Because changing meeting details means that you also need to inform the attendees of any changes, click Yes to send the updated invitations. Attendees will be required to respond to the new invitation if the Request Responses option is selected on the Actions menu.
