Adding New Lines in the Datasheet View


When using the Datasheet view in a document library, you can't create a new row of information by clicking within the datasheet area because a library will only create a new row when a new document is uploaded. Within a Datasheet view of a list, such as a contacts list, a new row can easily be created.

Figure 10.2 shows a contacts list in Datasheet view, and to add a new line you simply click the last line, which is marked by an asterisk, and start entering information. Many users prefer this method of entering information when compared to the process of clicking New Item in the standard view and using the resulting interface. As you will see shortly, you can cut and paste recurring information in the Datasheet view, which can make the data-entering process quicker and easier.

Note that in Figure 10.2 the last name Jones was entered, then the first name Bill, and in the Company column, when the letter c was typed, the user was given the full company name (Company ABC) as an option. By using the down arrow on the keyboard to select the full name and hitting Enter, the user can select this option. Again, this can be a timesaver for entering repetitive information, which Excel users will be used to.
