The Datasheet View


To use the Datasheet view in a library or a list, you must have Excel 2003 installed on your PC. If you click the Edit in Datasheet option in the toolbar from within a document library or list, and don't have Excel 2003 installed, you will get an error message saying the list cannot be displayed in Datasheet view.

NOTE

Not all list types support the Datasheet view. Discussion boards, Surveys, and Image galleries do not support the Datasheet view.


Figure 10.1 shows the Datasheet view of the document library we were working with in the last lesson. There are four documents in the library, and the Datasheet view displays them and the metadata associated with them in a grid or spreadsheet type of format. Figure 10.1 is scrolled to the right, hiding the left-hand side menu bar, to display the full toolbar. Some new tools are provided in the Datasheet view, as marked by numbers in Figure 10.1.

  1. Show in Standard View This tool will change the view back to the standard view.

  2. Task Pane This tool reveals the task pane. You can also click the bar indicated by number 5 in Figure 10.1 to reveal the task pane. We will look at the capabilities of the task pane later in this lesson.

  3. Totals This tool adds a Total line at the bottom of the datasheet grid area (circled in Figure 10.1) that will automatically add up any numerical information contained in the grid. Note that the contents of the ID column are not totaled because these are numbers assigned to the items by SharePoint, not numerical information entered by users. Instead, if you have a column such as Document Length, where information is entered by the users, the total line would add up those numbers.

  4. Refresh Data Clicking this button will request any updates to information contained in the library or list from the SharePoint server. This is useful if several users are updating the library or list at the same time. Clicking the Refresh button in the Internet Explorer toolbar will have the same effect.

  5. Task Pane Bar The task pane can also be accessed by clicking the bar indicated by number 5 in Figure 10.1.
