Printing Quickly and Efficiently

After you've approved your document's appearance using Print Preview mode, you're ready to print. By far the easiest and most common printing task is printing an entire document. You've probably done this a million times, but to make sure we don't overlook any obvious procedures, here's a quick rundown of the ways you can print a single copy of the current document:

  • Choose File, Print, and then click OK.

  • Click Print on the Standard toolbar.

  • Press Ctrl+P or Ctrl+Shift+F12, and then click OK.

You can also print a Word document without opening it by right-clicking the file's icon and choosing Print from the shortcut menu. From within Word, you can print multiple documents in the same folder at one time by following these steps:

  1. Choose File, Open.

  2. In the Open dialog box, open the folder that contains the documents you want to print, and then select the documents.

  3. Right-click the selected documents and then choose Print, or select Print from the Tools menu.

Troubleshooting: An extra blank page prints when I print

If an extra blank page prints at the end of your print job, there might be an extra paragraph return or two inserted at the end of your document. To delete the empty paragraphs, display hidden characters in your document (by clicking the Show/Hide button on the Standard toolbar), and then delete the extra paragraph markers. After you delete the extra paragraph marker or markers, you can verify that the extra blank page has been removed by viewing your document in Print Preview mode.

Troubleshooting: The wrong font appears in my document onscreen or when printed

In some cases, a font that you're using might not show up in your document. Instead, Word substitutes another font for the unavailable font. You can control which font is used as the substitute font by performing the following steps:

  1. Click Tools, Options, and then click the Compatibility tab.

  2. Click the Font Substitution button.

  3. Under Font Substitutions, click the missing font name under Missing Document Font, and then click a substitute font in the Substituted Font box.

Similarly, some fonts might show up onscreen, but print differently from the way they appear onscreen. In these cases, Word might be printing a draft copy (check the Draft Output option on the Print tab in the Options dialog box), or the font you're using might not be available in your printer. To fix a missing printer font, you should change the offending font to a TrueType font or another font that's supported by your printer.

To print from Word, you must have a printer and printer driver installed. If you're in charge of configuring your own printer, check your printer manufacturer's Web page for updated drivers to download if you run into Word 2003 compatibility issues.
