Applying Formatting


To make any presentation look not only good but also powerful, convincing, or persuasive, you ll need to format its text and objects carefully . You can do much (sometimes all) of your formatting work from the keyboard.

Shortcuts for Applying Formatting

Select the Font drop-down list on the Formatting toolbar

[Ctrl] - [Shift] - [F]

Select the Font Size drop-down list on the Formatting toolbar

[Ctrl] - [Shift] - [P]

Increase the font size in jumps

[Ctrl] - [Shift] - [ > ]

Decrease the font size in jumps

[Ctrl] - [Shift] - [ < ]

Display the Font dialog box

[Ctrl] - [T]

Cycle the case of the selection

[Shift] - [F3]

This shortcut cycles the case among lowercase, title case (the first letter of each word is capitalized), and uppercase (all letters are capitalized). This shortcut is an alternative to the Format Change Case command, but that command also offers a Sentence Case option (the first letter of each sentence is capitalized) and a tOGGLE cASE command (PowerPoint inverts the capitalization of each letter).

Toggle subscript

[Ctrl] - [=]

Subscript decreases the font size of the selected text and lowers it below the baseline of the other characters .

Note

The Superscript and Subscript check boxes and Offset text box in the Effects group box in the Font dialog box ( [Ctrl] - [T] ) give you more precise control over subscripts and superscripts.

Toggle superscript

[Ctrl] - [+]

Superscript decreases the font size of the selected text and raises it above the baseline of the other characters.

Reset the formatting of the current paragraph or selection

[Ctrl] - [Spacebar]

Use this shortcut to quickly remove direct formatting that you ve applied to text.

Copy the formatting of the selection

[Ctrl] - [Shift] - [C]

Pressing this keyboard shortcut is the equivalent of clicking the Format Painter button on the Standard toolbar: it copies the formatting of the selected text or other object to the Clipboard, so that you can paste it to other text (or another object).

Apply the copied formatting to the selection

[Ctrl] - [Shift] - [V]

After copying formatting using [Ctrl] - [Shift] - [C] (or by clicking the Format Painter button), apply the formatting to its destination by using this shortcut or by clicking the Format Painter button.

Apply justified alignment to the paragraph

[Ctrl] - [J]

Applying justified alignment to (or justifying ) a paragraph aligns the left end of its lines with the left margin and the right end of its lines with the right margin. The last line isn t aligned with the right margin unless it happens to reach the margin anyway.

Shortcuts for Grouping and Ungrouping Items

Group the selected objects

[Ctrl] - [Shift] - [G]

Ungroup the selected group

[Ctrl] - [Shift] - [H]

Shortcuts for Displaying the Grid and Guides

Toggle the display of the grid

[Shift] - [F9]

Toggle the display of guides

[Alt] - [F9]

Display the Grid and Guides dialog box

[Ctrl] - [G]
