When editing the XML files, do not delete or change any of the node tags. Change only the text between the > and </ signs for the nodes.

Do not add any XML-sensitive special characters (such as &, <, > etc.) while editing the contents in the XML files. Always confirm that the XML file is valid by opening the edited XML file in Internet Explorer and confirming that the file opens without errors.

Incorrectly editing the registry may severely damage your system. Back up the current version of the registry before making any changes. You should also back up any valued data on the computer.

When editing the registry (.reg) files, you must enter a single \ as \\ when entering path names, for example, D:\\RapPort\\AutoSetup. Do not remove quotation marks.

To edit RegionCodes.xml:

  1. Open Windows Explorer, and then navigate to the following folder on the drive on which the RapPort server is to be installed:

    ..\RapPort\RapPortWeb\Configuration

  2. Open RegionCodes.xml in Notepad.
  3. Copy the XML node <region></region> and paste for each of the region entries you want to make.
  4. Edit each XML node <region></region> by adding the actual region name and a unique code for each region. For example, <region code="FE">Far East</region>.
  5. Save the file.
  6. Close Notepad.
  7. Double-click the file to open it in Internet Explorer to confirm that the XML formatting is correct. Internet Explorer should display the file without any errors.

To edit TemplateConfig.xml:

  1. In Windows Explorer, and then navigate to the following folder on the drive on which the RapPort server is to be installed:

    ..\RapPort\RapPortWeb\Configuration.

  2. Open TemplateConfig.xml in Notepad.
  3. Copy the XML node <template></ template> and paste a copy of this node for each of the workspace templates that should be available for copying.
  4. Edit the XML node <name></name> under each <template></ template> node by adding the display name of the template. RapPort presents this display name to the user when making a request from the RapPort Web site. For example, <name>Product Group – Portal</name>

A long template name can distort the Web site user interface. It is recommended that you use a reasonable length for the template name. Although there is no limitation on the text for a template name length, 50 characters should be sufficient for displaying properly on the Web site user interface. After entering the name for the template in the XML file, check the Web site user interface for distortion. If the display name distorts, you should shorten the template name so that it can display correctly in the Web site user interface.

  5. Edit the XML node <url></url> under each <template></ template> node by adding the complete URL of the corresponding workspace template. For example, <url>http://Adventure-Works/portaltemplate</url>.
  6. Save the file.
  7. Close Notepad.
  8. Double-click the file to open it in Internet Explorer to confirm that the XML formatting is correct. Internet Explorer should display the file without any errors.

  4. Edit the XML node <region></region> under each <entry></entry> node by adding the actual region code for the destination server name. For example, <region>FE</region>. Get the appropriate region code from the RegionCodes.xml file edited in the previous procedure.
  5. Edit the XML node <servername></servername> under each <entry></entry> node by adding the actual destination server name. For example, <servername>AdventureWorks</servername>.
  6. Edit the XML node <capacity></capacity> node under each <entry></entry> by entering the maximum number of workspaces that can be hosted on this destination server.
  7. Edit the XML node <current></current> under each <entry></entry> node by entering the current number of workspaces that are hosted on this destination server.
  8. Save the file.

Creating Workspace Templates

This section provides tips for creating workspace templates and describes the elements of the workspace that RapPort copies during the portal provisioning process.

A workspace template is a SharePoint Portal Server workspace that contains some content. RapPort replicates this workspace so that other workspaces may benefit from the thought and effort put into designing the original content. Although you can use any actual workspace as a template, consider generalizing the content before using it as a template so that the material applies to a more general audience than the original workspace. It is recommended that you limit the number of people with coordinator or author privileges on a workspace template to a small number of people.

A workspace template is stored on the template server. When a user requests a new portal, the RapPort server copies the following elements of a workspace:

  • Categories. All categories, and associated metadata
  • Schema. All profiles, attributes, and dictionary values
  • Folder Structure. All of the following folders and subfolders:

    http://server_name/workspace_name/Documents

    http://server_name/workspace_name/Portal Content

    http://server_name/workspace_name/Portal/Resources/RapPort

    http://server_name/SharePoint Portal Server/Public/Applications/workspace_name.

RapPort does not maintain approval routes on folders. You must reapply approval settings on all folders.

  • Security Settings. RapPort assigns coordinators, authors and readers at the workspace level based on the information provided by the person requesting the portal.
  • By default, folders inherit security from the parent folder. Therefore, these settings apply throughout the workspace. It is not recommended that you apply security at the document or individual folder level when creating a template because role settings can vary according to each group's needs.

RapPort does not copy individual document or folder security settings when replicating a template.

  • Documents. RapPort copies only the latest version of all documents stored in the folders listed previously.

    Version history is not copied.

RapPort identifies all documents as checked-in or published preserving the setting from the workspace template. If a published document is checked out in the template workspace, RapPort copies the latest published version. If a checked-out document in the template workspace was never published, then RapPort copies the last checked-in version. If a document in the template workspace was never checked in, RapPort copies the checked-out version but marks it to checked-in in the new workspace.

  • Dashboard site and Web Parts. RapPort copies all dashboards and related Web Parts.

RapPort does not copy content source settings. Most organizations do not need to crawl the same content from multiple portals. For more information about using content sources to crawl content, see Chapter 6, Planning a Deployment. RapPort also does not copy discussions or subscriptions because the users for the new workspace can differ than those from the template.

To create a workspace template:

  1. On the template server, create a new workspace or copy an existing workspace from another SharePoint Portal Server computer.
  2. Customize the workspace to reflect the appropriate settings for the template. This may include customizing the dashboard site, creating a category structure, or adding specific content. If you copied an existing workspace, remove all inappropriate content, verify that you checked in, or published all documents, and specifying security at the top of the workspace and modifying inheritance.

For more information about creating workspaces and customizing them, see Appendix B.

You assigned this account to the role of coordinator for the workspace when setting up the template workspace. There is no technical requirement to remove this account.

Remove the Destination Server

This section describes the process of removing RapPort from a destination server.

Removing RapPort from a destination server does not remove any workspaces or virtual servers already created on the destination server.

To delete any RapPort-created site, first delete the virtual server associated with the Web site, and then delete the workspace associated with the Web site.

To delete the virtual server associated with this workspace, use Internet Services Manager.

To delete the workspace created by RapPort, use SharePoint Portal Server Administration. For more information about deleting RapPort-created Web sites, see "Delete a workspace and associated virtual server."

When removing RapPort from a destination server, you must manually configure the Home directory redirection property for all existing virtual servers. This is because the folder that contains the redirection default.asp pages for the RapPort created virtual servers is deleted when you remove RapPort.
