Chapter  11.   Planning and Managing Security

A user does not receive a subscription notification if they are assigned the right to see a document through a Windows 2000 Authenticated User or other special SID. Examples of special SIDs include Anonymous Logon, Batch, Dialup, Interactive, Network, and Terminal Server User. If a user is assigned access rights through a group containing both special SIDs and a non-special SID, the user receives notifications.

Discussions rely on NTLM authentication and are not available for use if the workspace has been configured to use Basic authentication only. If your site has been configured this way, you can correct this problem by turning NTLM authentication on for the SharePoint Portal Server vroot in the Internet Information Services Manager (ISM), located in the Administrative Tools folder in the Start Menu.

Load the ISM and select the properties for SharePoint Portal Server by right-clicking on it and selecting it from the menu. Click the Directory Security tab, click Edit in the Anonymous access and authentication control box, and select the Integrated Windows Authentication check box at the bottom of the window. Click OK and close properties.

Note that discussion items are not secure, and are visible to a user even if that user does not have access permissions for the document the discussion pertains to. Since actual document content may be part of the discussion itself, this could potentially reveal sensitive or confidential information from the document. Because of this, Web discussions are not included in the index by default, and you can restrict Web discussions to items stored on a server from the server properties dialog box's Other tab, using the SharePoint Portal Server Administration tool (see Figure 11.6). Also note that Web discussions are not included in the index by SharePoint Portal Server when it crawls other SharePoint Portal Servers, even if the documents contain discussion items.

If you do not have Web discussions restricted to items stored in their own workspaces, the Internet browsing activity and username are logged in IIS for each user who connects to the server and leaves the Online Collaboration toolbar open in Internet Explorer. To prevent logging this information, instruct your users to close the collaboration toolbar when they are finished with their document discussion, both in Office and Internet Explorer.
