Send a Task to Someone

You're probably starting to get the idea that just about any record on your Treo can be sent to another device with little effort. Chapter 5, "Managing Treo Contacts," showed you how to send contacts using any of several delivery mechanisms, and "Send an Event to Someone" earlier in this chapter explained how to send events. You might have caught on at the time that the process of sending an event is identical to that of sending a contact. The same process applies to sending tasks. For this reason, I'll spare you the details of a play-by-play description of sending tasks .

TIP

You can easily purge old tasks by using the Purge command on the Record menu. Purging tasks is identical to purging events, which you learned how to do earlier in the chapter. If you elect to purge any tasks, make certain you want to purge the tasks in question before going through with the purge operation.


All you need to know about sending tasks is that sending is carried out via the Send Task and Beam Task commands available on the Record menu. There are also Send Category and Beam Category commands for sending an entire category of tasks at once. If you don't quite remember how these commands work for other PIM data types, check out the "Send an Event to Someone" section earlier in this chapter or "Send and Receive Contacts Wirelessly" in Chapter 5.


Edit Task Preferences

The Tasks application includes several preferences that can be tweaked to alter the sorting and display of tasks in the main task list. To change the preferences for the Tasks application, follow these steps:

Press the Menu button and navigate over to the Options menu. Then scroll down to the Preferences menu item and press the Center button on the five-way navigator (or tap the Preferences menu item). The Preferences screen appears, as shown in Figure 6.26.

The Sort By option presents a pick list of settings that control the order of tasks in the task list. You can sort the task list by priority, due date, category, and various combinations of these task properties.

Other options in the Preferences screen include check boxes for hiding or showing completed tasks, due dates, priorities, and categories. One option that doesn't directly affect the appearance of the task list is Record Completion Date, which records the completion date of finished tasks as the due date for the tasks. In other words, the due date of the task is automatically altered to match the actual completion date.

The last option in the Preferences screen is Alarm Sound, which enables you to customize the alarm sound played for a task alarm. Tap the Alarm Sound pick list to select a different alarm sound.

When you're finished setting the task preferences, tap OK to accept the changes and return to the main Tasks application.

The task preferences might not dramatically change the way you use the Tasks application, but they do allow you to carefully configure the main task list so that it shows exactly the task information you want to see. Besides, you might find it worth the effort to simply change the alarm sound for tasks.


Manage Memos

The Memos application is simply a list of text notes that you can edit and organize. You can think of a memo as an electronic Post-It note, where you can quickly jot down any information worth remembering for later. I've used memos for construction parts lists, grocery lists, project notes, and even driving directions. You'll likely find your own unique uses for memos.

To create a new memo, follow these steps:

Press the Application button to open the main application screen.

Press the M key to jump near the Memos application, and then navigate with the five-way navigator to select the Memos application, if it isn't already selected.

Press the Center button to launch the Memos application. The Memos screen appears, revealing a list of memos currently stored on your device; this list is likely empty if you haven't already created any memos. Figure 6.27 shows a memo list that consists of a single memo.

To create a new memo, simply tap the New button in the lower-left corner of the screen. The memo entry screen appears, which is simply a big text edit field. To enter the memo text, just start typing.

TIP

The name of a memo that appears in the memo list is the first line of text in the memo. So you can name a memo by entering the text you want on the memo's first line.

You can customize a couple of details for a memo by tapping the Details button near the bottom of the screen. The Memo Details screen allows you to edit the category for the memo and specify whether the memo is private (see Figure 6.28). To categorize the memo, simply tap the Category pick list and select a category. To flag the memo as private, tap the Private check box. Tap the OK button to finish entering memo details.

6.

When you're finished entering the new memo, tap the Done button to save and close it.

The new memo is added to the memo list, where you can tap it to view its text. Keep in mind that because memos can be categorized like other types of PIM data, you can easily filter the memo list by using the pick list at the upper-right corner of the Memos screen. Beyond that, the Memos application is quite simple.
