Chapter 12. Creating Categories
While most end-users will simply drill down into the category structure to find the documents in which they are interested, the method in which this takes place is largely misunderstood. In this section, we discuss two behind-the-scenes operations that are taking place while your end users navigate through folders or assign new categories.
Limitations exist in assigning categories to a document. One in particular relates to being limited to assigning only a single category to a document. For details, see "Only One Category May Be Assigned to a Document" in the "Troubleshooting" section at the end of this chapter.
We noted previously that a category query is generated when a category is first created. This category query allows end users the ability to search for documents related to the category. You use this query any time you drill down into a category. Remember, any time a user opens a category folder in Windows Explorer or browses to a category on the dashboard site, SPS is actually running this search query. The category query merely filters for and then displays all of the documents that are associated with the category you are viewing.
In addition, when a category is created, the schema is also updated. This allows users to assign the new category value to their own documents. That is, the new category becomes available as yet another category that can be assigned either manually to a document, or by using the Category Assistant.
