Only One Category May Be Assigned to a Document

What are the limitations in assigning categories to documents?

A1:

When mapping from HTML meta tags, you may only map a single value to a document. Since SharePoint Portal Server assigns only a single value to the Categories property, SPS therefore only supports a single category in this way.

The Title of Your Document Is Overwritten

I'm having problems with the title of my document getting overwritten.

A1:

If the document profile for a shortcut includes the Title property, regardless of other property settings, the title of your document will be overwritten. To avoid overwriting the title of the document retrieved by a shortcut, you must ensure that the document profile for the shortcut does not include the Title property.

Not Possible to Move Categories

I'm deleting and renaming categories but I can't move them within the category hierarchy. What should I do?

A1:

While you can delete and rename categories, SPS does not allow you to move them within the category hierarchy. Even if the name of the category is changed, the new category will contain the same documents it contained previously. This is because the rename operation simply updates all the documents with the new category name . To effectively move a category named SERVERS, therefore, requires the following:

  1. A new temporary category (for example, TEMP) must be created in the new proper location within the category hierarchy.

  2. Associate the documents in the old SERVERS category with this new TEMP category.

  3. Delete the old SERVERS category.

  4. Rename the TEMP category to SERVERS.

Poor Performance During Category Maintenance

When is the best time to update the system?

A1:

While there is rarely ever an ideal time to make changes or updates to a system, it is important that changes to the category structure be performed off-hours, or when as few users as possible are on the system. This is because category maintenance is very CPU- and disk- intensive . To gauge the impact and overall timeline required for a category maintenance window, clock and measure the performance hit in your Technical Sandbox or test environment before applying changes to the Production SPS system. Besides representing a sound change management approach to implementing updates, it also helps you to ensure that the process can be completed within the timeframe you expect. Note that many SPS shops implement big changes on a regular monthly or quarterly schedulethis not only prepares your workspace community for regular maintenance windows , but also gives you a target downtime window to shoot for.

Authors Complain They Cannot Categorize Documents

My authors are complaining about not being able to categorize portal content.

A1:

In order for authors to have the ability to categorize documents, the Coordinator of the workspace must first add the Categories property to the document profiles of the documents being authored .

Documents Not Categorized as Expected

I'm categorizing documents but some won't fit like I thought they would.

A1:

While this is a generic issue, one common mistake made by novices regards use of the precision number (normally set by the workspace Coordinator). Remember, the precision number allows the Coordinator to control to what degree each document is measured for its fit in a particular category. If the precision number for a particular category is set too high, very few documents (if any) will be categorized. We recommend establishing a standard precision number from which to start all new categorizing activities, and testing the impact of changes to this number in your Technical Sandbox or test system prior to implementing changes in Production.
