One little-known but extremely useful feature of Acrobat is its capability to automatically generate bookmarks from structured PDF files. Of course, using this feature requires an understanding of what a structured PDF file is.

A structured PDF file contains internal tags that describe the nature of the elements within the file. These tags are used most often to make a file more accessible to those with motion or vision disabilities . Structured PDF files can also be viewed more easily on different devices, such as PDAs and cell phones. Structured PDF files can be created from many authoring applications, such as Adobe InDesign and Microsoft Word ( especially if you use styles in your Word document). KEY TERMS

Structured PDF These files contain additional information about the various elements (images, blocks of text, and so forth) in the PDF file. This structure improves the reflow of the document on handheld devices and is used by accessibility technology for viewers with vision or motion impairments.

Tags Invisible (to us) blocks of information about each individual document element in a PDF file.

Structured bookmark A bookmark that is tied to its destination page so that moving or deleting the bookmark also moves or deletes the destination page. Structured bookmarks can be created only in structured PDF files because the relationship between the structured bookmark and destination page is based on the logical structure tree found in structured PDF files.


The information stored in structured PDF files can also be used as the basis for automatically generating bookmarks. Bookmarks created this way are structured bookmarks , not regular bookmarks. The key difference between the two is that regular bookmarks contain navigation links that take the viewer to a particular page and location but they are not tied to the destination in any way. You can move or delete a regular bookmark without affecting the page it points to. Structured bookmarks, on the other hand, are linked to the pages they point to. Moving or deleting a structured bookmark moves or deletes the page to which it points.

Open a Structured PDF File

All MS Word and InDesign files have the necessary structural information, as does any file specifically saved as a structured file in an authoring program that supports structured files, such as Adobe FrameMaker. Aside from MS Word and InDesign files, there is no way to know whether a document is a structured file except to open it in its original authoring application and check (using whatever method that authoring program uses to display structural information).

Create New Bookmarks from Structure

Open the Bookmarks panel, if necessary; then click the Options button and select New Bookmarks from Structure . The Structure Elements dialog box opens.

Select Structural Elements

In the Structure Elements dialog box, click the structural elements you want to use as the basis for your bookmarks. Ctrl -click (Windows) or -click (Mac OS) to select multiple elements. Click the OK button to generate the bookmarks.

Typically, the structural elements that make the most sense to use as the basis for bookmarks are paragraph styles. Typically, bookmarks are generated from the styles used for chapter and section headings. In addition to styles, many structured documents contain structural data or tags for tables, images, and paragraph or column breaks that would be inappropriate to use to create bookmarks.

Rename Bookmarks

Click the plus symbol next to the bookmark icons to expand heading bookmarks and select the bookmark. Click the Options button and select Rename . Type in the new name of the bookmark and press Enter to accept the changes.
