Chapter 4. Sharing and Reusing Information

4. Sharing and Reusing Information

Chapter at a Glance

In this chapter, you will learn to:

Export information to another Access database.

Export information to Excel.

Export information to a SharePoint list.

Export information to Word.

Export information to a text file, an XML file, or an HTML file.

Copy information to other Office programs.

You can export Microsoft Office Access database objects in a variety of formats. From Access 2007, you can export database objects to all the file formats from which you can import data. By installing an add-in, you can also export information to Portable Document Format (PDF) and XML Paper Specification (XPS) files. The specific formats available depend on the object you are trying to export. Tables, for example, can be exported in pretty much the same formats in which they can be imported. Macros, on the other hand, can be exported only to another Access database.

Available export formats include:

Tip

To display a list of valid export file formats for a specific Access object, right-click the object in the Navigation Pane, and then point to Export.

When you import information to an Access database, the data being imported usually needs to match certain patterns, or the import process will fail. There aren't any such restrictions when exporting data from an Access database, and the process rarely fails. However, some exported database objects aren't very useful in certain formats.

In this chapter, you will export a variety of objects from an Access database to other 2007 Microsoft Office system applications, as well as to PDF, XPS, XML, HTML, and text file formats. You will also copy and paste data directly from an Access database into a Microsoft Office Word document and a Microsoft Office Excel spreadsheet.
