CONFIGURING, CUSTOMIZING, AND MANAGING OUTLOOK

     
  1. Email account configuration is the fundamental reason for setting up Outlook on users' systems.

  2. To set up a new email account in Outlook, use the Email Accounts dialog box. You can access the Email Accounts Wizard from the Tools menu. The Email Accounts Wizard allows you to modify existing accounts, add new directories or address book entries, and modify existing directories and address book entries.

  3. Use the Email Accounts dialog box to remove any preconfigured accounts.

  4. Using Outlook's own newsreader, you can gain access to various types of newsgroups to download and read news messages and to post replies to them.

  5. After you have configured a newsgroup account, the next step is to search and then subscribe to newsgroups.

  6. When using multiple email accounts within Outlook, you can set up multiple Inboxes to receive messages for each account.

  7. When multiple email accounts are configured within Outlook, you must select which account any outgoing message is to be sent from. Use the Accounts button to select which account will send the outbound message.

  8. The main area for Outlook configuration is located in the Options dialog box accessed through the Tools menu. The Options dialog box is organized into six tabs: Preferences, Mail Setup, Mail Format, Spelling, Security, and Other.

  9. The Preferences tab allows you to configure default email, calendar, task, contact, journal, and note options.

  10. The Mail Setup tab allows you to add and configure email accounts, send/receive options, the way PST files are handled, and dial-up configurations.

  11. The Mail Format tab allows you to configure the default message format, stationery and fonts, and signatures.

  12. The Spelling tab allows you to configure general spelling options, edit custom dictionary settings, and set the international dictionaries.

  13. The Security tab allows you to secure outgoing and inbound email, set the security zone, and manage digital IDs (certificates).

  14. The Other tab allows you to access advanced options and AutoArchive settings, customize the preview pane, and enable instant messaging.

  15. The Data File Management feature allows you to configure PST file locations. To open the Data File Management dialog box, click the File menu and choose Data File Management.

  16. You can use Outlook's Import/Export feature to back up your data, as well as add new data to your existing Outlook PST file.

  17. To fix corrupted PST files, you can use the Inbox Repair Tool. However, the tool isn't always able to repair every PST file. It works by repairing the PST file's header and then deleting anything in the file that it doesn't understand.

  18. The Inbox Repair Tool, named Scanpst.exe , is located in the drive :\Program Files\Common Files\System\MSMapi\1033\ directory of any system that's running Windows XP.
