7.15 Policy Policy

The policy should include a statement that it should be distributed in writing to each possible computer user when it is initially created and approved, when it is updated, and to each new user. It should state that it is "company (or agency) policy" and that compliance is mandatory and that noncompliance may result in dismissal. Listing standard punishments for various violations also is a good idea so that later execution of the punishment is legal. Listing a "slap on the wrist" for a first serious violation is an invitation to "keep trying to get away with it until caught."

You also will need to ensure that there are no variations in the execution of these punishments to comply with antidiscrimination laws and the like. This part of the policy certainly will need to be approved by Human Resources, Legal, and Union liaisons to ensure it is proper. It would be a fine idea to give each user two copies of the policy and require each user to sign one copy and return it either to you or Human Resources prior to receiving an account. This "proof of notification" allows the company to take stern action if the policy is violated.
