To view your schedule for a specific date

  • In the Date Navigator, scroll to and click the date you want to view.

To select a calendar view

On the View menu, point to Arrange By, point to Current View, and then click the view you want.

To schedule an appointment

  1. In the Calendar, double-click the time slot during which you want to schedule the appointment.

  2. In the Appointment form, enter the relevant information about the appointment, and click the Save and Close button.

To schedule a recurring appointment

  1. In the Calendar, double-click the time slot during which you want to schedule the first occurrence of the recurring appointment.

  2. In the Appointment form, enter the relevant information about the appointment, and then click the Recurrence button.

  3. In the Appointment Recurrence dialog box, enter the recurrence settings you want and then click OK.

  4. Click the Save and Close button.

To schedule an event

  1. In the Calendar, right-click the day on which you want to schedule the event, and click New All Day Event on the shortcut menu.

  2. In the Event form, enter the relevant information about the event, and click the Save and Close button.

To assign a category to an appointment

  1. At the bottom of the Appointment form, click the Categories button.

  2. In the Categories dialog box, select the category, and then click OK.

  • In the Calendar, drag the appointment to the new time or date.

  1. Right-click and drag the appointment to the new time or date.

  2. On the shortcut menu that appears, click Copy.

To delete an appointment

  1. Click the appointment you want to delete.

  2. On the toolbar, click the Delete button.

To create a calendar folder

  1. On the File menu, point to New, and then click Folder.

  2. In the Name box, type the name of the new calendar.

  3. In the Folder contains list, click Calendar Items.

  4. In the Select where to place the folder list, click the folder under which you want to create the new calendar.

  5. Click OK.

To view multiple calendars

  1. Make sure the Calendar is displayed.

  2. In the My Calendars area of the Navigation Pane, select the check boxes for the calendars you want to view.

  1. Make sure the Calendar is displayed.

To change your work week

  1. On the Tools menu, click Options.

  2. On the Preferences tab of the Options dialog box, click the Calendar Options button.

  3. In the Calendar work week area of the Calendar Options dialog box, select the check boxes for your work days.

  4. Click OK in each of the open dialog boxes.

To change your time zone

  1. On the Tools menu, click Options.

  2. On the Preferences tab of the Options dialog box, click the Calendar Options button.

  3. In the Calendar Options dialog box, click the Time Zone button.

  4. In the Time Zone dialog box, click the time zone you want, and then click OK in each of the open dialog boxes.

To manually label an appointment

  1. Double-click the appointment.

  2. In the Appointment form, click the down arrow to the right of the Label box, and then click a label.

  3. Click Save and Close.

To label appointments with color

  1. On the toolbar, click the Calendar Coloring button, and then click Edit Labels.

  2. In the Edit Calendar Labels dialog box, select the label you want to edit and rename it as you like.

To print your calendar

  1. Make sure the Calendar is displayed, but no appointment is open.

  2. On the toolbar, click the Print button.

  3. In the Print dialog box, select a print style, and click the Print button.
