To select the message format

  • On the Message form’s toolbar, click the down arrow to the right of the Message format box, and click HTML, Rich Text, or Plain Text.

To format messages by using stationery

  1. On the Tools menu, click Options.

  2. In the Options dialog box, click the Mail Format tab.

  3. In the Use this stationery by default list, select the stationery you want.

  4. Click OK.

To customize message stationery

  1. On the Tools menu, click Options.

  2. In the Options dialog box, click the Mail Format tab.

  3. Click the Stationery Picker button.

  4. In the Stationery Picker dialog box, click the stationery you want to customize, and then click the Edit button.

  5. Apply the formatting you want, and click OK in each of the open dialog boxes.

To format a message using a theme

  1. Compose a new e-mail message.

  2. With the insertion point in the message body, on the Format menu, click Theme.

  3. In the Theme dialog box, click the theme you want.

  4. Select the Vivid Colors, Active Graphics, and/or Background Image check boxes if you want.

  5. Click OK.

To respond to voting buttons in a message

  1. Preview the message in the Reading Pane or open the message.

  2. Click the Infobar, click the voting option you want, and then click OK.

To set message delivery options

  1. Compose a new e-mail message.

  2. On the Message form’s toolbar, click the Options button.

  3. In the Delivery options area of the Message Options dialog box, select the check boxes for the options you want.

  4. Click Close.

To set the importance of a message

  1. Compose a new e-mail message.

  2. On the Message form’s toolbar, click the Options button.

  3. In the Message settings area of the Message Options dialog box, click the down arrow to the right of the Importance box, and then click Low, Normal, or High.

  4. Click Close.

  • Click the heading of the column by which you’d like to sort messages.

  • On the View menu, point to Arrange By, and then click the field by which you’d like to group messages.

  • On the View menu, point to Arrange By, and then click Show in Groups.

  • On the View menu, point to Arrange By, point to Current View, and then click the view you want.

To customize the message view

  1. On the View menu, point to Arrange By, point to Current View, and then click

  2. Customize Current View.

  3. In the Customize View dialog box, click the button of the element you want to customize.

  4. In the resulting dialog box, make the changes you want, and then click OK.

  5. Repeat Steps 2 and 3 for each element you want to change.

  6. Click OK to close the Customize View dialog box and save your changes.

To color-code messages

  1. On the Tools menu, click Organize.

  2. In the Ways to Organize pane, click Using Colors.

  3. Select the type of messages you want to color-code and the color you want them to be, and then click the Apply Color button.

To create a message signature

  1. On the Tools menu, click Options.

  2. In the Options dialog box, click the Mail Format tab.

  3. In the Select the signatures to use with the following account list, click an account, click the Signatures button, and then click the New button.

  4. In the Create New Signature dialog box, type the name of your signature, and then click the Next button.

  5. In the Signature Text box, type and style your signature, and then click Finish.

  6. Click OK to close the Options dialog box.

To flag a message with the default flag color

  • In your Inbox, click the message’s Flag Status icon.

To flag a message with a flag color other than the default

  1. In your Inbox, right-click the message’s Flag Status icon, and then click Add Reminder.

  2. In the Flag for Follow Up dialog box, in the Flag color list, click a color.

  3. Click OK.

To mark a flagged message as complete

  • In your Inbox, click the message’s Flag Status icon.

To view all your flagged messages

  • In the Favorite Folders list, click For Follow Up.

To flag a message you are composing

  1. On the message window’s toolbar, click the Message Flag button.

  2. In the Flag for Follow Up dialog box, in the Flag To list click a label.

  3. In the Due by lists, click a date and a time.

  4. In the Flag color list, click a color.

  5. Click OK.
