Inserting Cells

Click the spot in your worksheet where you want to insert a new cell (in this example, cell B5 is selected).

Open the Insert menu and select Cells to open the Insert dialog box.

Choose how you want the surrounding cells shifted when the new cell is inserted for example, Shift Cells Down and click OK.

The existing cells shift down, and a new cell is inserted.

INTRODUCTION

There might be times when you are entering data into your worksheet and notice that you've typed the wrong information, so that you are off by one cell in a column or row. To avoid retyping all the data, or copying and pasting, you can insert new cells and shift the current cells to their correct locations.

TIP

Using the Shortcut Menu

Another way to insert a cell is to right-click the spot in your worksheet where you want the new cell to appear and select Insert from the shortcut menu that appears. The Insert dialog box opens, and you can proceed as normal.

TIP

Using the Insert Options Format Painter Smart Tag

When the new cell is inserted, the Insert Options Format Painter smart tag appears; click it to apply formatting to the inserted cell. Format the new cell like the cell above or below, or with no formatting.
