  • POP3 and IMAP are protocols used by clients to receive e-mail from servers. SMTP is a protocol used by clients and servers to send e-mail.

  • To create, test, and troubleshoot e-mail accounts in Outlook and Outlook Express, use the Internet Accounts dialog box. From there you can add accounts, view properties, and make changes to existing accounts.

  • Importing and exporting messages and address books provides a good method for backing up and restoring Outlook and Outlook Express, as well as a method for migrating from other e-mail software.

  • To join a newsgroup and set Outlook as the default newsgroup reader, drag the News command to the Go menu, and use the News option to add or remove newsgroup accounts.

  • Common service calls associated with newsgroups include blocking messages from a particular sender, blocking unwanted messages, and resolving problems with sending or receiving posts.

  • AutoArchive automatically moves items of a certain age to a separate personal storage file, helping keep the size of the Outlook data file down and keeping old messages out of a user’s way.

  • The Mailbox Cleanup feature in Outlook lets users find, sort, delete, and archive messages according to a number of criteria, such as item age, sender, folder, and so on.

  • Outlook 2003 features robust Junk E-Mail features that move unwanted messages to a separate folder and keep them out of the way.

  • Errors made while entering user names and passwords lead to errors retrieving messages. To resolve such problems, always double-check server names, user names, and passwords against what has been entered. Use Outlook’s automatic testing features to make sure account information is entered correctly.

  • The Outlook interface can be changed to reflect the needs and preferences of any user. For the most part, changes made to the interface are achieved by using the View menu options, by using the Go menu options, and by customizing the toolbars by using the Customize dialog box.

  • To resolve common end-user requests, learn techniques such as leaving a copy of the e-mail on a network server, exporting .iaf files, and setting composition options for spelling, grammar, and signatures.
