Chapter 14.  Customizing Dashboards


The default dashboard is shared by all users. There is only a very limited amount of personalization possible, as the list and layout of Web Parts is determined by the Workspace Coordinator. To provide a more flexible place where users can maintain their own dashboard, SharePoint Portal Server provides Personal Dashboards.

To ensure that personal dashboards are not intermingled with the default dashboard, they are stored in a separate place, the Dashboards folder. A consequence of this is that personal dashboards will not appear as a tab in the out-of-the-box dashboards, because the tabs represent child or parent folders, as explained earlier in the "Creating Sub-dashboards" section. So the problem is that users need to know the URL to their personal dashboards.

In order to create personal dashboards, you must have at least author permissions for that folder. Personal Dashboards are created through the Personal Dashboards Web Part, which you will find by default on the Management dashboard. All users who have read access to that Web Part and have the necessary privileges for the Dashboards folder can create their own dashboards.

CAUTION

With personal dashboards, you allow users to create their own Web Parts. These can run scripts on the server, a shared resource for all your users. The Web Part code thus can affect the server (though only to the extent of the user 's security limitations).


To create a personal dashboard, do the following:

  1. Open the Management dashboard of your workspace in your browser.

  2. Click Create a new personal dashboard. The DashboardSettings page is displayed.

  3. Provide a name for your digital dashboard.

  4. Provide other settings if desired, such as captions and descriptions of your personal digital dashboard, in the text boxes.

  5. Click Save.

  6. To open your new personal dashboard, open the default dashboard and click on Document Library in the navigation bar.

  7. Click Dashboards, and then click the link to your new dashboard.

  8. You can reconfigure your personal dashboard settings by using the Content and Settings links at the top of the page. As your personal dashboard is initially empty, there will be no Layout link available.

The security context of the newly created dashboard is inherited from the Dashboards folder. In addition, users who create a personal dashboard are automatically granted Coordinator permissions. As a Coordinator, you will be able to access the Contents, Layout, and Settings customization pages for the new dashboard, as well as be able to change the security settings through the Web Folder. And you may wish to do so, simply because all users who are allowed to create Personal Dashboards can view your dashboard, due to their inherited author privilege.
