These three out-of-the-box Web Parts reside on the default home dashboard. They all share the same Web Part codethey just retrieve the content they display from a different location. This content is stored for each Web Part in a dedicated subfolder of the Portal Content Folder. This concept allows the Coordinator to assign dedicated people to author the information presented in the Web Parts. These people need to have the author role on the dedicated folder; they can modify the content shown in the Web Part without being a Coordinator.

To author new announcements do the following:

  1. Log in as an author for announcements. That is a user that has the author role for the Portal Content\Announcements folder.

  2. From your browser, open http://server/workspace/, and select the Document Library sub-dashboard.

  3. Click on the Portal Content folder, and then on the Announcements folder.

  4. Click the Add Document link to open the Add Document dialog.

  5. Type the path to the document (or click the Browse button).

  6. Click Continue to open the Document Profile.

  7. Fill in the Title and the Description fields, as they will be shown by the Web Part.

  8. Click Save.

Another, probably more convenient way is to use the Web Folder interface. Do the following:

  1. Log in as an author for announcements. That is, a user who has the author role for the Portal Content\Announcements folder.

  2. Open the Web Folder pointing to your workspace.

  3. Open the Portal Content folder, and then the Announcements folder.

  4. Drag your document into the folder.

  5. Right-click the new document icon, and then click Edit Profile. The Announcement document profile appears.

  6. Fill in the Title and the Description fields, as they will be shown by the Web Part.

  7. Click OK to leave the document profile dialog.

NOTE

To remove an Announcement, delete the document associated with the item in the Announcements folder.


The Web Parts for News and Quick Links work similarly. You only need to select a different Portal Content subfolder.

You can easily create Quick Links if you first use Internet Explorer to find the URL. In your browser, right-click and select Create Shortcut, which will save a new file with the .url extension on your desktop. Drag this file into the Quick Links folder. When you now invoke the Document Profile to provide more details, you will see that the Web Link property is already been populated with the URL that is associated with the shortcut.

To ease the authoring of Announcements, Microsoft provides an updated version of the Announcement Web Part as part of the downloadable SharePoint Portal Server Resource Kit (http://www.microsoft.com/sharepoint/techinfo/reskit/announcements.asp). This new version enables authors to create content for the Announcements Web Part without the need for special authoring tools such as Microsoft FrontPage or Microsoft Word.
