Use Case A.1 Manage Investments

Use Case Name :

Manage Investments

Description:

Track the essential attributes of properties the company invests in, the properties' tenants, and the leases

Actors:

  • Property manager

  • Operations manager

  • External partner

Triggers:

Changes are made to the property portfolios, their tenants, or the leases.

Preconditions:

Categorization and other data is available to the system.

Basic Course of Events:

  1. When a property is acquired

    1. Enter essential details of an investment (property)

    2. Establish the capital commitments for the property

    3. Divide the property into one or more units

  2. When a tenant is found for a property unit

    1. Enter tenant details

    2. Establish lease parameters

    3. Establish the anticipated cash flow schedule

    4. Associate the property unit with the tenant

  3. When a property is disposed of

    1. Record the details of the sale

    2. Disassociate all tenants from the property

    3. Remove all future capital committed to the property

    4. Remove all future cash flows from the schedule

  4. When a lease terminates

    1. Disassociate the unit(s) from the tenant to make them available for future leases

    2. Remove any future cash flows associated with the tenant

Use Case A.2 Report on Investments

Use Case Name:

Report on Investments

Description:

Collate stored data into a set of reports used to support business operations and decision making.

Actors:

  • Property manager

  • Operations manager

Triggers:

  • Property managers run reports mainly on an ad hoc basis to make a variety of decisions.

  • Operations managers run reports regularly to support business operations.

Preconditions:

  • Investments/Properties have had their details entered into the system.

  • Data from external sources must be acquired for the system for reports that rely on external data to be available.

Basic Course of Events:

  1. The system displays a list of available reports, including

    1. Operations reports

      1. Leases expiring in n months

      2. Property utilization

      3. Open units per MSA

    2. Property manager reports

      1. Expected rate of return

      2. Top ten properties

      3. Properties per MSA

      4. Exposure

    Note that this is not an exhaustive set of reports, but of the reports that are of most importance initially.

  2. The actor selects a report.

  3. The system prompts the actor for details to refine the report, including reporting date.

  4. The system retrieves data, performs calculations to derive data that is not stored, and applies sorting order.

  5. The system prepares the report for presentation including how the report looks and the delivery format (on-screen or print).

Exceptions:

None

Postconditions:

The system alters no business data based on report production.

A.2.1 The Actors

A.2.1.1 Operations Manager

The operations manager is responsible for the data entry and data maintenance. The operations manager creates reports to provide management information regarding a property and ensures that the day-to-day issues with the properties are taken care of.

A.2.1.2 Property Manager

The property manager is responsible for the performance of a sum of money made available to her for real estate investments. The property manager identifies real estate projects of various types, in which to invest. This actor is primarily interested in the capital needed for an investment and the comparison between the capital committed and the return generated.

A.2.1.3 External Partner

The external partner performs a similar role to the property manager but is external to the organization. He is involved with the properties, but has discretion in many areas. His primary responsibility is to ensure that the investments produce a return; he also is required to provide regular information to the property managers, including cash flow, reconciliation, and returns information.

A.2.2 Technical Requirements and Business Rules

At this point, we have no pressing technical requirements except to note that there may be remote access requirements for the external property manager actor. We have no business rules to document at this point.
