Configuring Library Objects


If you want to use document management, you will be creating library objects. To find any libraries that are already created, highlight the GroupWise System object in ConsoleOne, and then in the GroupWise view change the drop-down filter to Libraries. When you highlight a GroupWise library and view its properties, you will see a screen similar to that shown in Figure 5.6.

This section includes a discussion of the fields that appear in the Library Identification property page, as shown in Figure 5.6:

  • Post Office: This field is the GroupWise domain and post office to which this library belongs. Libraries cannot be moved from one domain and post office to another, but with mass-change operations, the documents in one library can be moved to another.

  • Description: This is an optional field. The text here is not visible to users and is useful as a way to describe the library object to other system administrators.

  • Start Version Number: Document version numbers can begin at either 0 or 1. If you enter 0, the first version of each document will be 000. If you enter 1, the first version number will be 001. Most people count in ordinal terms, so it might be better to enter 1 here.

  • Maximum Archive Size in Bytes: This is the number of bytes per library archive directory. The value you enter should be compatible with your backup medium. For example, you could make it 90% of the tape backup's capacity to allow for the tape's file storage data. Then you can back up one archive directory per tape.

  • Display Name: Like domains and post offices, GroupWise libraries cannot be renamed. Fortunately, the display name for a library can be changed. This is visible to users when they select a library to save documents in.

  • Distinguished Name: This is the name and context of the GroupWise library object in eDirectory.

All of what you see on this property page will make more sense when you read Chapter 14.

The Library Storage Areas Property Page

As described in Chapter 4, "Understanding the GroupWise Information Store," GroupWise libraries are made up of document property databases (and other databases), and the documents themselves are stored as compressed, encrypted files called BLOB (binary large object) files. By default, all the databases and BLOBs are kept in subdirectories of the post office directory.

The Storage Areas property page enables you to choose other locations, whether they are on different volumes or even different servers, for the BLOB files. The document databases will always remain under the GWDMS (GroupWise Document Management System) structure, however.

By default, the box labeled Store Documents at Post Office is checked. You must uncheck it to add a storage area for documents. You cannot add document storage areas while this box is checked. Be sure to read Chapter 14 before deciding how you will store your documents.
