Adjusting Series Elements

For data series, you can specify whether or not a series has labels showing the values of the data points, and you can also change the format of the bars and columns in the series. Line, area, and pie charts have different formatting options.

To format data point labels

1.
Select the chart.

2.
From the Data Point Settings pop-up menu in the Data Point Label section of the Series tab of the Chart Inspector, select Show Value ( Figure 8.26 ).

This turns on the value labels for each data point in the chart ( Figure 8.27 ).

From the Data Point Settings pop-up menu, choose where you want the data point label to appear.

These settings change depending on the chart type. For example, a column chart has Top, Middle, Bottom and Outside options, and a bar chart has Left, Center, Right, and Outside options.

If you want to show decimals in your data point values, type a number in the Decimals field.

Tip

  • You can change the font or style for data point labels in the same way you change other chart elements; select the data point labels, then make changes in the Fonts window.


To set the bar format

1.
Select the chart.

2.
In the Bar Format section of the Series tab of the Chart Inspector ( Figure 8.28 ), set the desired gap between bars.

Set the gap between data sets ( Figure 8.29 ).

4.
Specify whether or not you want shadows on the bars.

Tip

  • It's a good idea to always make sure that the gap between bars is less than the gap between sets. Otherwise, it can be difficult for your viewers to differentiate between sets.


To set formats in line and area charts

1.
Select the chart.

2.
In the Data Point Label section of the Series tab of the Chart Inspector, set the data point label formats as described above.

3.
In the chart, click to select one of the lines or areas.

4.
In the Data Point Symbol section of the Chart Inspector ( Figure 8.30 ), choose a data point symbol from the pop-up menu, or choose None.

5.
If you've chosen to use a data point symbol, pick the kind of fill you want for the symbol from the Symbol Fill pop-up menu.

6.
Repeat steps 3 through 5 for each of the lines or areas in the chart.

The chart changes as you complete each line or area's modifications ( Figure 8.31 ).

Tip

  • If you use a fill for a data point symbol, be especially careful that the result doesn't look too visually busy, detracting from the message of your chart.


Editing chart legends

You can change the text that appears in a legend by editing the text of the data series in the Chart Data Editor (Figure 8.14).

To show or hide the chart legend, select or clear the Show Legend check box in the Chart Inspector ( Figure 8.32 ).
