Section 46. Organize Bookmarks

Before You Begin

42 Create a Bookmark

43 Change a Bookmark's Destination

The more bookmarks you have in your document, the more important it is to organize them into a logical and easy-to-use structure. This can be as simple as changing the order in which the bookmarks are listed or as ambitious as creating a hierarchical structure that includes main heading, subheading , and even tertiary bookmarks (although more than two levels of bookmarks is generally not recommended).

Bookmarks can be rearranged by simply dragging the bookmark up or down in the bookmark list. The key thing to pay attention to when moving bookmarks is the location of the insertion point in the bookmark list (shown as an arrowhead and dotted line). If the insertion point is below the icon of another bookmark, the bookmark being dragged is placed below the target at the same level in the hierarchy. If the insertion point is below the name of another bookmark, the bookmark being dragged is placed below the target and subordinate to the target in the hierarchy.

1.
Create New Headings

To help you organize your bookmarks into logical groups, you might want to create some empty bookmarks that don't do anything other than act as headings for your other bookmarks. To do this, create a bookmark and give it an appropriate heading name. Right-click (Windows) or Ctrl -click (Mac OS) the bookmark and select Properties from the context menu. In the Properties dialog box, click the Actions tab, select the Go to a Page in This Document action in the Actions list, and click the Delete button. Click Close , and the new bookmark will have no action. That is, it will be only a heading in your list of bookmarks.

2.
Rearrange Bookmarks

Position the mouse pointer over the icon for the bookmark you want to move, and then drag the icon up or down until the insertion point (the arrow and dotted line) is under the icon of another bookmark; then release the mouse button. You have successfully moved one bookmark in the list so it has the same level in the hierarchy as the bookmark immediately above it in the list.

3.
Nest Bookmarks

Position the mouse pointer over the icon for the bookmark you want to move, and drag the icon up or down until the insertion point is under the name of another bookmark; then release the mouse button. After bookmarks are nested, headings can be expanded or collapsed by clicking the plus or minus icon next to the bookmark. You have successfully moved one bookmark in the list so it is subordinate to (nested under) the bookmark immediately above it in the list.

The top-level bookmark in a set of nested bookmarks is provided with an icon you can click to expand or collapse the list of nested bookmarks.

4.
Expand or Collapse Nested Bookmarks

Click the plus-sign icon (Windows) or the reveal triangle (Mac OS) next to the topmost heading to expand the list of bookmarks. Click the minus-sign icon (Windows) or the reveal triangle again (Mac OS) to collapse the list.
