Using Smart Tags


AutoCorrect is a customizable editing tool that lets you know when something is amiss in your document by underlining the word or phrase. This is an example of a smart tag, a feature that can offer you a menu of additional choices as you are writing or revising your documents. For example, smart tags can highlight the names of people who are in your contact list and give you instant messaging access to them if they are currently online. Smart tags were new in Microsoft Office XP, and they have been greatly enhanced in the Microsoft Office System.

Some smart tags are enabled by default in your Word documents. You can see which tags are turned on by displaying the AutoCorrect dialog box and clicking the Smart Tags tab (see Figure 4-3). If you want to turn off smart tags entirely, click the Label Text With Smart Tags check box to turn off the feature. If you want select additional recognizers, click the items you want to include.

A recognizer is a text element Word will use as a smart tag. For example, if you want Word to recognize and display smart tag choices for phone numbers included in your document, click the Telephone Number recognizer.

The Office System includes tools for developers that make creating smart tags easier than ever. This means that expert users can create custom smart tags that relate to specific industry areas or applications. For example, a custom smart tag might recognize a particular order number and offer menu choices such as displaying the customer or vendor information, or showing when the order is scheduled to go out.

The Smart Tag tab in the AutoCorrect dialog box includes a More Smart Tags you can use to search Office Online for additional smart tags. This is worth checking periodically ”you just might find something that will make your life easier.

Smart Documents and Microsoft Office InfoPath Possibilities

Two additional new tools in the Office System extend the idea of data reusability in exciting ways. Smart documents take the smart tag idea and expand it to a larger scale. A developer might create a smart document, for example, to be sensitive to the kinds of data a user is entering and provide related tips, links, or data in a customized task pane. Using the order number smart tag example, a smart document might recognize the order number and display a custom task pane offering options that enable the user to click and fill the entire document with the details of that order. Smart documents can also build in additional help resources or prompts for readers filling out common business documents.

InfoPath is a new forms technology built on Extensible Markup Language (XML), which means that data entered in InfoPath forms is saved in such a way that it can be stored in a database and repurposed for use in any number of applications. InfoPath is a new application from Microsoft that uses the familiar Office interface to enable businesses to create electronic forms based on traditional office documents.
