Sending Backup Data Home


Any time you're on the road for more than a day or two, it's a good practice to send home copies of each day's notes, documents, and other important files. If your computer is lost or stolen, or the disk drive crashes, you will still have copies of your recent work.

If you have access to the Internet, the easiest way to send copies of your files back to your home or office is to send them to yourself or to an assistant or associate as e-mail with attached files. Or if your company has an FTP server or a virtual private network (VPN), you can use one of those methods for moving files instead of e-mail.

When you send files through the Internet, it's always good practice to use a compression tool that can combine several large files into a single smaller one, even if you're only sending a single file. Not only do compressed files reduce the size (and therefore the transmission time) of the transmission, but they also include error-checking, so you can be certain that the received file is an accurate copy of the one you sent. Windows includes a compression utility that uses the .zip file format.

Note 

Some file types, including many graphics and sound files, are already compressed, so you won't see any significant reduction in size when you add them to .zip files.

To combine multiple documents and other files into a single compressed file (also known as a zip file), follow these steps:

  1. From the Windows desktop, open My Computer and create a new folder called "AttachMail [date]."

  2. Copy each of the files you want to send into the AttachMail folder.

  3. In the AttachMail folder, open the Edit menu and choose the Select All option.

  4. Right-click one of the highlighted items in the folder and select Send To image from book Compressed (Zipped) Folder. A compressed folder appears.

  5. Rename the compressed folder with today's date (M-D-Y or D-M-Y).

The alternative to electronic transmission is to copy each day's files to a CD and mail it to yourself. If you expect to use this approach, remember to include a set of blank (or rewritable) CDs and a padded envelope for each day of your trip, along with the other supplies in your computer bag. If possible, you can save time by pre-addressing each envelope and attaching postage before you leave home (be sure to use the correct stamps for each country).
