76. Tweak Calendar Options

75 Create and Manage Appointments


The Calendar application includes options that give you a fair amount of control over how appointments and meetings are displayed and manipulated. For example, the options made available by the Calendar application allow you to do away with the delete confirmation prompt that appears whenever you delete an appointment. Although doing away with this prompt can be a time-saver, it does make it easier to accidentally delete appointments. In addition to offering several useful option settings, the Calendar application provides a quick and easy way to determine how many upcoming appointments and meetings you have scheduled.

Launch the Calendar Application

On the Home screen, scroll to the Calendar icon and click the trackwheel. The Calendar application is launched and displayed on the screen.

Open the Calendar Options Screen

Click the trackwheel and select Options from the menu that appears. Click once more to open the Calendar Options screen, which offers several options for fine-tuning the management of appointments and meetings in the Calendar application.

Configure Calendar Options

The Calendar Options screen includes several options that control the appearance of the calendar view, as well as how appointments and meetings are accessed and manipulated. The first option, Initial View , determines the initial calendar format in view when you first launch the Calendar application. The default Day setting results in the Day format showing up initially. If you prefer seeing a different calendar format initially, change the setting to Week, Month, Agenda , or Last ; the Last setting results in the last-shown view being displayed, which can vary.

The Enable Quick Entry option turns quick entry mode on and off. Quick entry mode allows you to create new appointments and meetings directly on the Day view by simply selecting a time and typing. If you regularly create new appointments, it's not a bad idea to keep the default setting of the Enable Quick Entry option, which is Yes .

The Default Reminder option determines the default amount of time used for appointment reminders. You can set the reminder time for appointments to anything you want when you create an appointment, but the default reminder establishes an initial time for all new appointments that you create. In other words, this time-saving feature is helpful if you prefer a common reminder time for most of your appointments, such as a day in advance of the appointment.

The Start Of Day, End Of Day , and First Day Of Week options determine the specifics of how days are handled in the calendar. More specifically , the Start Of Day and End Of Day options establish the hours of the day for use in the calendar, which are typically standard business hours (9:00 a.m. to 5:00 p.m.). However, you can change these hours to represent a full 24- hour day or somewhere in between if you want. The First Day Of Week option tells the calendar which day you want to signify the start of your week. If your work week starts on a Tuesday, for example, you can change the First Day Of Week option to Tuesday .

The Confirm Delete option on the Calendar Options screen controls whether you are prompted to confirm the deletion of an appointment. The default value of this setting is Yes , which requires you to agree to a prompt before deleting an appointment. Unless you don't mind the risk of accidentally deleting an appointment, I recommend keeping the default setting.

The Number of Entries field on the Calendar Options screen isn't an option but instead provides you with the total number of appointments and meetings on your device. This piece of information can help you figure out how busy your upcoming schedule is.

Exit and Save Changes

When you finish configuring calendar options, press the Escape button. If you made changes to any of the options, you are prompted to save. Click Save to keep the changes or Discard to ignore the changes.
