Managing Workspace Archives and Templates


At the end of a project or an event that you’ve planned and coordinated using Groove, you’ve probably collected information that will be helpful, if not valuable, some time down the road. In addition, putting together a Groove workspace by arranging a specific set of built-in and custom tools is work that you might want to preserve. You can address both of these cases in Groove by saving a workspace as an archive so that you can refer back to the files, issues, and ideas that inspired you three months ago, or as a template so that you can repeatedly use a certain configuration of tools. (You cannot save a file-sharing workspace as a template or an archive.)

Saving a workspace as an archive preserves the collection of tools and custom tool names, the workspace name, the information collected in the tools, and the list of members in the workspace. To save a workspace as an archive, open or select the workspace, point to Save Workspace As on the File menu, and then click Archive. At that point, you need to confirm or enter the path and file name in the Save As dialog box. If you use the default location, which is a folder named Groove Workspace Archives in your Documents (or My Documents folder), the archived workspace file will be displayed in the file list if you want to import that archive from the Launchbar later. You can also browse for workspace archive files stored in other locations. You can set a password for the archive to help manage access to the data that it contains.

Note 

When you restore a workspace from an archive, all members (other than the member restoring the workspace) have a status of Suspended. You can invite these members or other people to join the workspace again.

Saving a Groove workspace as a template follows a similar set of steps. When you save a workspace as a template, you preserve the arrangement of tools and custom tool names (if any), as well as the workspace name. You also have the option to save the contents in the tools and the list of members in the workspace. Follow the same steps to save a workspace as an archive, except click Template. Specify a path and file name in the Save As dialog box, or accept the default location, and then click Save. Groove also provides a default location, Groove Workspace Templates, in your Documents (or My Documents) folder. By using the default location, your template will be listed in the Create New Workspace dialog box, and you can choose the template when you need it. If you choose the option to include the contents of a workspace in a template, you should set a password to protect the template’s data. If you include workspace members as an element of the template, these members have a status of Suspended in any workspace you create with the template. You can then invite the members to join the new workspace.
