The Microsoft Office Button and Menu


You no longer see the label File at the left side of a Microsoft Office program’s application window, but the Microsoft Office applications that display the new user interface still require the familiar File menu commands-New, Open, Save, Save As, Print, and others-that you use to manage documents and other files. You now display these commands by clicking the Microsoft Office Button, which is located in the upper-left corner of the application window (see Figure 2–1 earlier in this chapter).

In addition to finding basic commands such as Save and Print on this menu, you’ll notice commands named Prepare, Send, and Publish. The Send command has two subcommands-E-Mail and Internet Fax. You can use these commands to distribute a document, spreadsheet, or presentation using either of these methods.

The Publish command provides options for packaging a PowerPoint presentation on a CD, for example, or saving it to a slide library. In Word, the Publish command includes an option for posting the content of your document as a blog. Other options available through the Publish command let you share a document by using a document management server or through a document workspace that’s part of a Microsoft Windows SharePoint Services Web site.

The Prepare command provides a number of features that are new in the 2007 Office release. Several have to do with document permissions and the security of your content-commands such as Inspect Document and Add A Digital Signature. You’ll learn more about these commands and other security issues in Chapter 3, “Managing Security and Privacy in the 2007 Office System.”

The Run Compatibility Checker command scans a file you’ve created in one of the 2007 Office release programs to see whether it contains any features that are not supported by earlier versions of the program. Checking compatibility is particularly important in the case of Excel, PowerPoint, and Word, which by default use the Microsoft Office Open XML file formats.

The Microsoft Office Button is also the new entry point to the Options dialog box, where you can select program settings and other options and preferences. Figure 2–8 shows the Popular category in the Options dialog box for Excel.

The Popular category lets you control several aspects of the 2007 release user interface. As you can see in Figure 2–8, the category includes options such as enabling Live Preview, setting the application’s color scheme, and specifying which view should be used by default.

The Advanced category lets you manage specific operations and behaviors of an application. For Excel, this category provides options for how you edit a cell, whether to use AutoComplete, what happens when you press Enter, and similar types of details. In Word the same category controls whether formatting changes are tracked when Track Revisions is enabled, whether text can be dragged and dropped, and other similar behaviors.

You’ll learn more about options for the specific applications in Parts 3 through 7 of this book. You’ll learn more about the Trust Center in Chapter 3.

The Office menu, as the File menu did, also lists the documents you’ve worked on most recently. In the 2007 Office release, this list is now able to show 20 or more files. Notice the pushpin icon that appears next to the file names in the list. You can “set” the pushpin for a particular file if you want that file to remain in the Recent Documents list even when the file would otherwise fall off. To set the pushpin, place your pointer over the icon, wait for the message to appear, and then click the pin.
