Use due dates, priority settings, and categories to accomplish more. Alarms and recurring tasks make it even easier to know when things are due. By adding new tasks to your to-do list as soon as they come up, you'll have the ultimate to-do list nearby at all times. Real Life Tasks Andy is an artist who needs a steady supply of paints, brushes, and paper. He's created a category in Tasks called Art Supplies and made each art-supply item a task with no due date and a priority of 5. When a supply is running low, he changes the due date to the current week and the priority to 1. The task now appears on Calendar's Agenda View and at the top of his Tasks list. Once he gets the supplies, he changes the priority back to 5 and selects No Date. |

Schedule repeating tasks Schedule repeating tasks to remember when to put out the trash, call for a dentist appointment, or pick up the kids. Select a task, tap Details, and tap the Repeat pick list. Repeat tasks daily until a specified date, or create customized deadlines. After you schedule a repeating or continuous task, the Repeat icon appears next to the task in the Tasks list. |
Meet your goals Create a category called "Goals" and create one task per month with something you want to do. Attach a note with details or reminders of why it's important. |
Don't overdo dates Be realistic when you set due dates in Tasks. Planning more items than you can reasonably expect yourself to complete won't boost your productivity. |
Personalizing Tasks Use dates If you're deadline-driven, be sure to check the Show Due Dates option in Preferences. Use the Date view to see what's due today, what's due next week, and what's past due. Check and update your due dates daily. Tracking by date shows the selected task in the Agenda View of Calendar. Set priorities If you tend to become overwhelmed by a long list of competing responsibilities and goals, use priority ratings to decide where to turn your attention first. You can give tasks a priority rating from 1 (most urgent) to 5 (least urgent). Define categories Creating custom categories can help you efficiently sort through your tasks. Think about the different areas of your life and create categories that match those areas. The categories might be subdivided, such as "Work calls" and "Work meetings," or more general, such as "Work." To learn more about categories, see page 24. |

What you can do with Tasks Keep separate work, home, and weekend task categories Assign tasks for next week or next month, without specific due dates Set a task alarm to chime from one to five days before the task is due Assign a different alarm sound for a task. Select Menu > Options > Preferences > Alarm Sound and pick an appropriate sound. If you use Tasks to remind yourself to make phone calls, select the Phone sound.
