Organize with Calendar

Share schedules

Say you have a new employee who has to attend a series of orientation seminars, or you have a vacation itinerary you want to share with your parents and housesitter. Create a Calendar category and beam the whole schedule to them.

Free for lunch?

To see whether you're free at a certain time or date, tap Go To in Day, Week, or Month View. Select the month, date, or day to quickly check your calendar or schedule a new event.

Go to

  • To enter Calendar info with Palm Desktop software, see page 68.

  • For more about categories, see page 24.

Add color to your calendar and watch your scheduling efficiency soar. Calendar's tools can help you get a handle on your most hectic weeks.

Start your week Sunday or Monday

To change the start of your week from Sunday to Monday, or vice versa, go to the Home screen and select Preferences > Formats.

Add names and numbers fast

Use Phone Lookup () when you're planning an event. It automatically takes you to Contacts, where you select a person's name and contact info and drop it into the event.

Purge events

Delete old events to save space. From Day View, select Record > Purge.

Select events older than a week, two weeks, three weeks, or a month.

Keep the box checked for Save archive copy onPC to back up all your events on your computer.

Calendar categories: Colors indicate event categories

To create or change a category, select an entry, tap Details, and select a category

To create a new category or edit an old one (such as "My Stuff"), select Edit Categories

Tap Edit or New to name or rename a category and assign it one of the many colors. This makes it easy to scan Agenda, Day, Week, and Month Views

Schedule downtime

Schedule free time as a recurring event and mark it as private. Go to Options > Security and select Mask Records. Your free time is now a block of lovely gray.

Mute alarms

To mute Calendar's alarms when you're at a meeting or luncheon, go to the Home screen and select Prefs > Sounds & Alerts > Silent. Turn the power off. Any alarms will be there for you when quiet time is over.

Calendar tips

  • Create an event fast by tapping a time on the left side of Day View.

  • When you don't have a specific start or end time, you can still create an event. Tap No Time when the Set Time box comes up. Events without times are marked by a diamond.

  • When you schedule overlapping events, the bars in Week View appear side-by-side.

Hold on to important events

Repeating events don't get purged. So if you have a special event you want to remember, such as your graduation, set it up as an event that repeats every so many years.

Procrastinate

If you tap a task in Agenda View, the handheld goes directly to Tasks. From there, tap the Date column and delay the task for a day or a week. Just like that, it disappears from Agenda View.
