Creating a Hyperlink


 Microsoft Office Specialist     The power of a Web presentation lies in its ability to include hyperlinks to different places: to another slide in the presentation, to another slide show, to a file on your computer or your company s intranet, or to a Web address. You use the Action Settings command on the Slide Show menu to create these hyperlinks.

You can add a hyperlink to any text or object ”a shape, table, graph, or picture. Then you can jump directly to the linked location by clicking the text or object. If you have text within a shape, you can establish separate hyperlinks for the text and the shape. After creating a hyperlink, you can edit the object without losing the hyperlink (although deleting the object also deletes the hyperlink).

In addition to attaching hyperlinks to text or objects, you can also attach them to PowerPoint s predefined action buttons , which include the Home, Help, Information, Back, Next, Beginning, End, and Return buttons. You add an action button to a slide by clicking Action Buttons on the Slide Show menu, clicking a button type, dragging to create a button of that type on a slide or the Slide Master, and then specifying its link.

In this exercise, you will create a hyperlink from one slide to another. You will also create hyperlinks to an Excel chart and to a Web site. You will then create an action button that jumps to the presentation s agenda page, add a sound to the button, and then test it.

USE the CreateLink presentation and GardenBudget workbook in the practice file folder for this topic. These practice files are located in the My Documents\Microsoft Press\PowerPoint 2003 SBS \CreatingWeb\CreatingHyperlink folder and can also be accessed by clicking Start/All Programs/Microsoft Press/PowerPoint 2003 Step by Step .

OPEN the CreateLink presentation.

  1. Move to Slide 3, select Gather your supplies in the middle text box, and on the Slide Show menu, click Action Settings .

    The Action Settings dialog box appears, displaying the Mouse Click tab.

  2. Select the Hyperlink to option, click the down arrow to the right of the box below Hyperlink to , scroll down the list of destinations, and click Slide .

    The Hyperlink to Slide dialog box appears.

  3. In the Slide title list, click 5. Using Available Resources .

  4. Click OK .

  5. In the Action Settings dialog box, click OK , and then click a blank area of the slide.

    The text is underlined to indicate that it is a hyperlink, and it takes on the accent and hyperlink color in the slide color scheme, which is gold.

  6. In the lower-left corner of the presentation window, click the Slide Show button.

    PowerPoint displays Slide 3 in Slide Show view, and the slide title appears.

  7. Click the mouse button to display the boxes and connectors.

  8. Move the mouse to display the pointer, and then click the Gather your supplies hyperlink.

    The slide show jumps to Slide 5.

  9. Press the [Esc] key to end the slide show.

  10. Move to Slide 7, click the chart object, and on the Slide Show menu, click Action Settings .

    The Action Settings dialog box appears, displaying the Mouse Click tab.

  11. Select the Hyperlink to option, click the down arrow to the right of the box below Hyperlink to , and then click Other File at the bottom of the list.

    The Hyperlink to Other File dialog box appears.

  12. Navigate to the My Documents\Microsoft Press\PowerPoint 2003 SBS\CreatingWeb \Creating Hyperlink folder, and double-click the GardenBudget file.

    The path of the file you selected appears in the box below Hyperlink to in the Action Settings dialog box.

  13. Click OK .

  14. Click the Slide Show button, and when the chart appears on Slide 7, click it.

    Tip  

    The pointer changes to a pointing hand when you move it over the chart object. Any time the pointer has this shape, you can click to follow a hyperlink.

    Excel opens and displays a pie chart showing the flower garden budget.

  15. On the File menu, click Exit , and then click No when you are prompted to save changes to the Excel file.

    Excel quits, and you return to the slide show.

  16. Press [Esc] to end the slide show.

  17. On the View menu, point to Master , and click Slide Master .

    The Slide Master appears.

  18. In the lower-left corner of the slide, select www.gardenco.msn.com , and on the Standard toolbar, click the Insert Hyperlink button. Then if necessary, click the Existing File or Web Page option in the Link to bar.

    The Insert Hyperlink dialog box appears. A blinking insertion point in the Address box indicates where you should type the Web site s URL (Uniform Resource Locator) .

    Important  

    A Web site s URL consists of three parts : the prefix, in this case http:// , which indicates that the Hypertext Transfer Protocol is being used to access an address on the Internet; a network identification, such as www for World Wide Web; and a site or domain name , such as gardenco.msn.com (which is fictitious).

  19. In the Address box, type http://www.gardenco.msn.com , and click OK . Then click a blank area of the slide

    The Web site address in the lower-left corner of the slide is now gold and underlined and is recognizable as a hyperlink.

  20. On the Slide Show menu, point to Action Buttons , and in the second column of the first row of the button palette, click the Action Button: Home button.

    The pointer changes to a cross-hair pointer.

  21. In the lower-right corner of the slide, drag to create a Home action button.

    When you release the mouse button, the Action Settings dialog box appears with the Hyperlink to option selected and First Slide in the box below. At the bottom of the dialog box, the Highlight click check box is selected, but dimmed to indicate that you cannot change this setting.

  22. Select the Play sound check box, click the down arrow to the right of the box below Play sound , scroll down the list, click Camera , and then click OK .

    The selected sound will play when the Home button is clicked.

  23. Right-click the action button, and click Format AutoShape on the shortcut menu.

  24. On the Colors and Lines tab, click the down arrow to the right of the Color box, click the Gold box in the color scheme area, and click OK .

    The Home button is now the accent and hyperlink color.

  25. On the Slide Master View toolbar, click the Close Master View button.

    Slide 7 appears in Normal view with the hyperlinked Web address in the lower-left corner and the Home button in the lower-right corner.

  26. Click the Slide Show button.

    The slide entitled Sample Project Budget appears.

  27. Click the Home button.

    The slide show jumps to the first slide in the presentation ”the agenda slide ” and the camera sound plays.

  28. Press [Esc] to end the slide show, and then on the Standard toolbar, click the Save button to save the presentation.

CLOSE the CreateLink presentation.
