Adding Slide Timings


 Microsoft Office Specialist     You can advance through a slide show in one of two ways:

  • Manual advance, which you control by clicking the mouse button, pressing keys, or clicking commands.

  • Automatic advance, which moves through the slide show automatically, keeping each slide on the screen for the length of time you specify.

The length of time a slide appears on the screen is controlled by its slide timing . You can apply a timing to a single slide, to a group of slides, or to an entire presentation by selecting the slides, clicking Slide Transition on the Slide Show menu, and in the Advance slide area of the Slide Transition task pane, entering the number of minutes and seconds in the Automatically after box.

If you are unsure how much time to allow for the slide timings of a presentation, you can rehearse the slide show while PowerPoint automatically tracks and sets the timing for you, reflecting the amount of time you spend on each slide during the rehearsal. This technique allows you to spend more time talking about some slides than others. You set slide timings during the rehearsal by clicking Rehearse Timings on the Slide Show menu, or in Slide Sorter view, clicking the Rehearse Timings button on the Slide Sorter toolbar.

In this exercise, you will first set slide timings manually and then you will set them automatically during a slide show rehearsal.

USE the AddTimings presentation in the practice file folder for this topic. This practice file is located in the My Documents\Microsoft Press\PowerPoint 2003 SBS\SettingShow\AddingTiming folder and can also be accessed by clicking Start/All Programs/Microsoft Press/PowerPoint 2003 Step by Step .

OPEN the AddTimings presentation.

  1. Click the Slide Sorter View button, and then click Slide 3.

  2. On the Slide Sorter toolbar, click the Slide Transition button.

    Troubleshooting  

    In Slide Sorter view, the toolbars appear on a single row. If you don t see the Slide Transition button, click the Toolbar Options button, and then click the Slide Transition button on the drop-down menu.

    The Slide Transition task pane appears.

  3. In the Advance slide area, select the Automatically after check box, and then click the up arrow twice to show 00:02 .

    Because both check boxes in the Advance slide area are selected, the slide will advance either after two seconds or when you click the mouse.

    Tip  

    When both check boxes are selected, a mouse click in Slide Show view always advances to the next bullet point or slide, even if the slide s timing has not elapsed. If you want to prevent PowerPoint from advancing to the next bullet point or slide, right-click the current slide, and click Pause on the shortcut menu.

  4. Click Slide Show .

    Slide 3 appears, its bullet points are displayed one at a time, and then PowerPoint moves to Slide 4.

    Tip  

    Slide timings are divided equally among the animations for each slide. So if a slide has a title and four bullet points that are all animated and you assign a timing of 1 minute to the slide, the elements will appear at 12-second intervals.

  5. Press [Esc] to end the show, and then in Slide Sorter view, click Slide 3.

    Adjacent to the animation icon below the lower-left corner of Slide 3 is the slide timing you just applied.

  6. At the bottom of the Slide Transition task pane, click the Apply to All Slides button.

    PowerPoint applies the current Slide Transition settings, including the slide timing, to all the slides.

    Important  

    When you click Apply to All Slides, all the transition effects applied to the active slide are transferred to the other slides. If you have applied different transitions to different slides, those individually specified transitions are overwritten. So it s a good idea to apply all the effects that you want the slides to have in common first. Then if you want, you can select each slide and customize its effects. (Bear in mind, though, that too many effects in one presentation can distract the audience from your message.)

  7. Click Slide Show , watch as the slides advance, and click the mouse button when the black screen is displayed.

  8. In the Advance slide area of the Slide Transition task pane, clear the Automatically after check box, and then click Apply to All Slides .

    The slide timings disappear from below the slides.

    Important  

    Before you carry out the remaining steps in this exercise, read all the steps carefully so that you understand what you need to do after you begin rehearsing the presentation.

  9. Click Slide 1, and then on the Slide Sorter toolbar, click the Rehearse Timings button.

    PowerPoint switches to Slide Show view, starts the show, and displays the Rehearsal toolbar in the upper-left corner of the screen. A Slide Time counter is timing the length of time Slide 1 remains on the screen.

  10. Wait about 10 seconds, and then click the Next button.

  11. Work your way slowly through the slide show, clicking Next to display each bullet point on each slide and then move to the next slide.

  12. If you want to repeat the rehearsal for a particular slide, click the Repeat button on the Rehearsal toolbar to reset the Slide Time for that slide to 0.00.00.

    Tip  

    If you want to start the entire rehearsal over again, click the Rehearsal toolbar s Close button, and when a message asks whether you want to keep the existing timings, click No.

    When you reach the end of the slide show, a message box displays the elapsed time for the presentation and asks whether you want to apply the recorded slide timings.

  13. Click Yes .

    You return to Slide Sorter view, where the recorded timings have been added below each slide. The timing for the active slide, Slide 1, appears in the Automatically after box in the Advance slide area of the Slide Transition task pane, and you can manually adjust the timing if you want.

  14. At the bottom of the Slide Transition task pane, click the Slide Show button.

    PowerPoint runs the slide show, using the recorded timings.

  15. Press [Esc] at any time to stop the slide show.

  16. On the Standard toolbar, click the Save button to save the presentation, and then close the Slide Transition task pane.

CLOSE the AddTimings presentation.

Creating a Self-Running Presentation

When slide timings have been applied to a PowerPoint presentation, the presentation can be set up to run automatically, either once or continuously. Self-running slide shows are a great way to communicate information without a presenter needing to be in attendance. You might want to set up a presentation to run unattended in a booth at a trade show or as a product demonstration in a store. A self-running show turns off all navigation tools except action buttons and other action settings available to the viewer.

To set up a self-running slide show.

  1. Open the presentation, and then on the Slide Show menu, click Set Up Show .

  2. In the Show type area, select the Browsed at a kiosk (full screen) option.

    When you select this option, PowerPoint selects the Loop continuously until ˜Esc check box in the Show options area and dims the option so that you cannot clear it. If you have attached a recorded narration to the presentation, it will play with the presentation unless you select the Show without narration check box.

  3. Click OK .

  4. To test the show, move to Slide 1, and click the Slide Show button.

  5. Press [Esc] to stop the slide show.

  6. On the File menu, click Save As .

  7. Navigate to the folder where you want to store the self-running presentation.

  8. Click the down arrow to the right of the Save as type box, and click PowerPoint Show in the drop-down list.

  9. In the File name box, assign a name to the self-running version of the show, and click Save .

  10. Close the presentation.

  11. When you are ready to run the show, click the Start button on the taskbar, click My Documents , navigate to the folder where the slide show file is stored, and double-click it.

  12. Press [Esc] to stop the slide show and exit the presentation.
