Formatting Text


Formatting refers to the process of changing the way your text looks. Character formats affect the appearance of individual characters . They can be applied to any amount of text, from one letter to the whole document. Paragraph formats affect the spacing and alignment of paragraphs. Again, they can be applied to a single paragraph or all the paragraphs in a document.

You have already applied one or two character formats to the document now on your screen. In this topic, you will expand on these simple formatting techniques, and in the process, you will add some finishing touches to the document.

Changing the Font and Font Size

When you first install Word, the default font used in new documents is 12-point Times New Roman. If you like this font, you can use it for all of your documents. If you want to convey a certain impression , make selected text such as headings stand out, or improve the readability of a document ”or if you don t think Times New Roman matches your personality ”you can change the font and font size used in an individual document. You can also change the default font and size used in all new documents. Word comes with over 40 different fonts from which you can choose, and each font is available in a range of sizes to fit your needs.

In this procedure, we ll use toolbar buttons and boxes to change the font and font size of a text selection. Follow these steps:

  1. With the Launch Party Letter document displayed on your screen, select the entire paragraph by double-clicking in the selection bar.

  2. At the right end of the Formatting toolbar, click the Toolbar Options button to display the palette of hidden buttons.

  3. Click the down arrow to the right of the Font box to dis- play a list of the available fonts.

    Personalizing your documents

    To change the default font used in new Word documents, on theFormat menu, click Font, set the font, font style, size, and other characteristics the way you want them, and then click the Default button. When Word asks whether you want to make this your default font, click Yes.

  4. Use the scroll bar to bring the bottom of the font list into view, and then click Verdana .

    The font of the selected text changes.

  5. With the paragraph still selected, click the down arrow to the right of the Font Size box, and then click 10 in the drop- down list.

  6. Press End to release the selection and view the results:

Changing Paragraph Formatting

In addition to changing the look of characters, you can change the look of an entire paragraph. Let s see how changing the alignment of a paragraph affects the way it looks:

  1. Press Ctrl+Home to move to the beginning of the document.

  2. Type the following text, pressing Enter once to end paragraphs and create blank lines where indicated, and twice after the salutation:

    October 1, 2002 (Press Enter twice.)

    Fern Leaf, President (Press Enter .) ChillFill Inc. (Press Enter .) 3500 NW Bay Street (Press Enter .)

    Juneau, AK 99801 (Press Enter twice.) RE: GLACIER SERIES SLEEPING BAG LAUNCH PARTY (Press Enter twice.)

    Dear Ms Leaf: (Press Enter twice.)

    Word underlines the address text with a purple dotted line to indicate that the address can be marked as a smart tag.

  3. If the Office Assistant offers to help you write the letter, click Just write the letter without help to close its message box.

  4. Press Ctrl+Home to move the cursor to the beginning of the date.

    Word underlines the date with a purple dotted line and displays an information button, which you can ignore for now.

  5. Double-click the Formatting toolbar s move handle to expand the toolbar and display all its buttons. Then click the Align Right button.

    Word right-aligns the date.

  6. On the Formatting toolbar, click the Align Left button to move the date to the left side of the page.

  7. Click anywhere in the subject ( RE: ) line, and then click the Center button to center the paragraph.

  8. Select the entire subject line, and click the Bold and Under- line buttons.

    Word adds bold and underline formatting to this paragraph.

  9. Click anywhere in the paragraph that begins I am pleased, and then click the Justify button.

    The paragraph s left and right edges are now aligned evenly with the left and right margins of the page. The results are shown in this graphic:

  10. Click the Save button.

When you know you want to center or right-align text, you can double-click to place an insertion point in the appropriate spot and then immediately start typing. For example, to quickly add a centered title, double-click in the middle of an empty line and then start typing.To create a right-aligned paragraph, double-click at the right side of an empty line. If double- clicking doesn t place the insertion point, click Options on theTools menu, click the Edit tab, select the Enable click and type check box, and click OK. (This feature works only in PrintLayout and Web Layout views.)
