Creating Publications by Using Design Sets

Most businesses and organizations use a common design and color scheme for all their promotional materials so that when people see a promotional piece, they immediately identify it with the business or organization. To make this practice easier, Publisher provides different types of design sets, which allow you to quickly create different types of publications with a unified design. You ve already created publications using the Waves design; now you ll create and customize another publication from the Waves design set, and then update your personal information set for the new publication.

Creating a Flyer Based on a Master Sets Design

Suppose Adventure Works has decided to use the Waves design for all its publications. You want to create a special promotional flyer to match the informational postcard and business card you already created. Follow these steps:

1. Start Publisher by clicking All Programs and then Microsoft Publisher on the Start menu.

If the Microsoft Publisher command appears directly on the Start menu above All Programs, you can click it there, too.

2. In the New Publication task pane on the left side of the screen, click the By Publication Type down arrow, and then click By Design Sets in the drop-down list.

Special design sets

In addition to the design sets in the Master Sets list, you can access several specialized design sets via the New Publication task pane s By Design Sets list. The Special Event Sets and Fund-raiser Sets options each offer three sets of templates geared toward special events or fund-raisers. Holiday Sets includes three templates appropriate for winter holiday occasions. We ve Moved Sets has four sets of templates used for change of address announcements or housewarming invitations. Restaurant Sets provides two sets of templates used for menus and restaurant web sites. Finally, Special Paper offers nine sets of templates available through a company called PaperDirect, which produces colored and patterned paper. If you use one of these design templates for a publication, Publisher shows you what the publication will look like when printed on PaperDirect s specialty paper.

If the New Publication task pane is not displayed, you can display it by clicking the Task Pane command on the View menu, and then clicking New Publication on the task pane title bar s menu. The New Publication task pane lists basic design sets available in Publisher s Master Sets list, which is displayed in the Master Sets pane in the work area, as shown in this graphic:

3. In the New Publication task pane, scroll to the end of the Master Sets list, click Waves , and then scroll through the Waves pane in the work area.

Notice that Publisher displays all the thumbnails for publications that use the Waves design template.

4. Click the Waves Special Offer Flyer thumbnail.

Publisher displays the Flyer Options task pane and opens a new special offer flyer in the right pane.

5. If Publisher displays a message box telling you it needs to install a graphics filter, click Yes .

Install on demand

If you try to use a Publisher component or feature that is not installed, Publisher displays a message. To install the missing item, click Yes in the message box. Publisher might prompt you to insert the installation CD-ROM. When the installation is complete, Publisher loads the component or feature. This install on demand capability allows you to install items as you need them rather than storing items on your hard drive that you might never need to use.

Selecting Layout and Color Options

You can use the layout and color scheme provided by a design set, or you can tailor them to your own needs. Let s select layout and color options for the new flyer:

1. In the Graphic area of the Flyer Options task pane, click None to remove the graphic placeholder.

2. Make sure None is also selected in both the Customer address and Tear-offs areas of the task pane.

3. Now click the Color Schemes link at the top of the task pane to display the Color Schemes task pane, and then click Tropics in the Apply a color scheme list.

4. Click the task pane s Close button to expand the space available for the new flyer in Publisher s window.

5. Click Save As on the File menu, and save the file as Flyer in the My Documents folder.
