Creating Other Simple Publications

We ve shown you how to create a postcard, which is only one of the many types of publications you can create with Publisher. Now you ll learn how to quickly create another postcard using the information you entered for the first one. You ll also see how to create a different type of publication, and how to adjust its text so that it looks just right.

More print options

If you don t want Publisher to collate multiple copies of multipage publications, in the Print dialog box, deselect the Collate check box. To print only the page containing the insertion point, click the Current page option. To print selected pages, click the Pages option and then enter the page numbers in the from and to boxes. (For example, enter 2 in the from box and 4 in the to box to print pages 2, 3, and 4.) Select the Print to file check box to print an image of the publication to a file on disk. Clicking the Properties button displays a tabbed dialog box with still more printing options, including the ability to switch the page orientation between Portrait (vertical) and Landscape (horizontal).

Creating a New Publication from an Existing One

Now we ll introduce you to a way in which you can create a new publication from one you ve already created. We ll use the postcard you created as a basis for a second, more general advertising postcard for Adventure Works, so that you don t have to create one from scratch. Try this:

1. Save the postcard, and then on the File menu, click Close to close the Postcard file.

2. On the View menu, click Task Pane .

3. In the New area, click the From existing publication link.

Publisher displays the Create New from Existing Publication dialog box shown in this graphic:

4. Double-click Postcard .

Publisher closes the task pane and opens a copy of the Mojave Desert Jeep Tours postcard as a new unsaved publication.

5. Save the new postcard with the name General Postcard .

6. Display the Color Schemes task pane by clicking Color Schemes on the Format menu, change the color scheme to Crocus , and then close the task pane.

7. Change the postcard s information to match the text shown in this graphic:

We ve changed the magnification for easier readability.

8. Save your changes when you are finished.

Designing a Business Card

Let s design a business card for Adventure Works:

1. On the File menu, click Close to close the Postcard file.

2. On the File menu, click New to display the New Publication task pane.

3. In the Start from a design area, click Business Cards in the list box under By Publication Type , scroll to the Waves Business Card in the work area, and then click it.

The new business card is displayed in the work area, and the New Publication task pane changes to the Business Card Options task pane. Notice that Publisher has already entered the Adventure Works company name, as well as the name, title, company name, address, and phone information that you provided for your personal information set.

4. In the Business Card Options task pane s Logo area, click None to remove the placeholder logo, and leave the other two options as they are.

5. Click the Color Schemes link, and in the Apply a color scheme area of the Color Schemes task pane, click Tropics .

6. On the File menu, click Save As , and save the file in the My Documents folder with the name Business Card .

7. Close the task pane to expand the work area.

Making Adjustments to the Business Card

Right away, you ll notice that your new business card needs some adjustments. For one thing, the web address does not show up in the phone/fax/e-mail text frame because you entered it manually in the postcard. You need to enter it in the business card, too. Also, Publisher displays the Text in Overflow indicator at the bottom of the phone number frame to warn you that not all the text in this story will fit in the frame. You need to resize the text frame to display the phone number and e-mail address, and you need to change the font size to make room for the web address you are about to add. Let s get going:

1. Click the frame to activate it, point to the upper-center handle, and when the pointer changes to a double-headed resize arrow, drag downward until the frame s upper edge is just above the phone number text.

2. Point to the frame s lower-center handle, and when the pointer changes to a double-headed resize arrow, drag downward until you can see the fax number and e-mail address.

The frame now overlaps the lower border of the postcard, but you ll take care of this issue in a minute

3. Click an insertion point at the right end of the e-mail address, and press Enter to add a new line.

Don t worry if the Text in Overflow indicator appears again; you ll fix that next .

4. To quickly adjust the text size to make room for the web address on the new line you just added, click anywhere in the text, press Ctrl+A to select all the text in the frame s story, click the arrow to the right of the Font Size box to display a drop-down list of sizes, and click 6 .

Publisher adjusts the font size to allow room in the frame for the new line.

5. Press End to move to the end of the selection, type Web: www.adworks.tld, and resize the box again if you need to do so.

Now you need to move the frame so that it fits inside the business card s parameters.

6. Right-click the frame, click Format Text Box on the shortcut menu, and when the Format Text Box dialog box appears, click the Layout tab.

The Layout tab displays the options shown in this graphic:

You need to instruct Publisher not to automatically adjust the text when you move its frame.

7. In the Wrapping Style area, click Tight, and then click OK .

8. Next point to the red dots that separate the address frame from the phone, fax, and electronic contact information s frame, and when the pointer changes to a move truck, click the dots to select them.

9. Hold down the Shift key, click the address frame, and still holding down the Shift key, click the contact information frame.

All three elements on the business card are now selected.

10. Click the Group Objects button at the bottom of the contact information frame to turn the three elements into a single unit.

11. Point to the top of the group s frame (the top of the address frame), and when the pointer changes to the move truck, drag the grouped unit upward until it just touches the bottom of the Adventure Works oval.

12. Click anywhere away from the group to survey your work, and then save the business card (printing it if you want to).

The business card now looks like the one shown in this graphic:

13. Close the business card by clicking Close on the File menu.
