Scheduling an Appointment with a Contact

Open the contact and then open the Actions menu and choose New Appointment with Contact .

The Appointment window opens with the selected contact listed in the Contacts field.

In the Subject field, type a name for the appointment. This text will appear on the calendar and in the title bar of the Appointment window.

Type the appointment's date in the Start Time field or click the down-arrow next to the field and use the minicalendar to select the date.

INTRODUCTION

In addition to using Calendar to schedule appointments (which is covered in Part 6, "Keeping a Calendar"), you can also create appointments from within your contact list. Outlook notes the selected contact in the appointment details.

TIP

A Shortcut

If you prefer, simply click ”rather than open ”the contact you want to schedule an appointment with in the contact list, and then open the Actions menu and choose New Appointment with Contact .

TIP

Scheduling All-Day Events

To schedule an all-day event, check the All Day Event check box. All-day events are not blocked out on the day calendar, but are listed at the top of that day.

Type the appointment's start time or click the down-arrow and choose the start time from the drop-down list.

By default, appointments last for 30 minutes. To change the end time, type the correct time into the End Time field, or use the field's drop-down list to choose a new time.

Outlook displays reminders 15 minutes before appointments are to begin. To change the lead time, choose a time from the Reminder drop-down list.

Click the Save and Close button in the Contact window's toolbar to schedule the appointment.

TIP

Multiday Events

If the appointment will span multiple days, type the appointment's end date into the End Time field or click the down-arrow next to the field and use the minicalendar to select the date.

Scheduling a Meeting

You can schedule a meeting from within a Contact window using the same basic steps as the ones shown here; simply choose New Meeting Request to Contact from the Action menu in step 2.

Creating a Task

You can create task items related to a contact from within using the same basic steps as the ones shown here; simply choose New Task for Contact from the Action menu in step 2.
