Lab Exercise 11.1: Configuring Virtual Office

In this lab, you're going to configure Virtual Office on your server. Then you configure a virtual team and invite users to join it.

Warning

Because Virtual Office is dependent on all the other NNLS components , you must complete all exercises in this book up to this point before attempting this lab exercise. If you haven't completed the preceding exercises, go back and complete them before starting this exercise.


Complete the following steps:

  1. Configure the Virtual Office SMTP server parameters by following these steps:

    1. Open a browser window and navigate to https ://your_server_IP_address/nps/iManager.html.

    2. Authenticate to iManager as admin with a password of novell .

    3. In the left frame, scroll down to the Virtual Office role.

    4. Select the Environment Administration task.

    5. Verify that Enable team creation is set to On .

    6. On the SMTP address line, click Edit .

    7. In the SMTP address field, enter your server's IP address. This will configure Virtual Office to send notification messages through your NetMail server.

    8. In the Username field, enter admin . This will configure notifications to be sent to your admin user 's email account.

    9. In the Password fields, enter novell .

    10. Click OK .

    11. Click Save .

    12. Click OK .

  2. Configure your company info field by completing the following steps:

    1. In iManager, select the Services Administration task.

    2. Verify that Home Page Company Info is enabled.

    3. In the Company Info field, remove the existing text and replace it with the following text:

       

       <center><H1>Welcome to Perpetual Motion, Inc.</H1></center> <hr><br> Perpetual Motion, Inc. is the world's leading provider of perpetual motion engines.<p> 

       

    4. Click OK .

  3. Add a global bookmark for Novell's support website by completing the following steps:

    1. In iManager, select Services Administration .

    2. Select the Bookmarks tab.

    3. Under Current Bookmarks , click Add .

    4. In the Name field, enter Novell Support .

    5. In the URL field, enter http://support.novell.com .

    6. Click OK .

    7. Click OK a second time.

    8. Click the Exit icon.

    Tip

    If you don't exit iManager, you will be automatically authenticated to Virtual Office as your admin user.

  4. Access Virtual Office as Jim Jackson and create a virtual team by completing the following:

    1. Open a second browser window and navigate to https://your_server_IP_address/vo.

    2. Authenticate to Virtual Office as JJackson with a password of novell .

    3. Under Virtual Team Tasks , select Create Virtual Team .

    4. In the Name field, enter Perpetual Motion Core Team .

    5. In the Description field, enter Virtual collaboration team for the Perpetual Motion core team .

    6. Click Create .

    7. When prompted that the team has been created and that JJackson is the team owner, click OK .

    8. Under My Virtual Teams , select Perpetual Motion Core Team . The Perpetual Motion Core Team home page is displayed.

    Warning

    If you don't have a compatible Java Virtual Machine plug-in installed in your browser, you will be prompted to download it. If this is the case, follow the prompts to download the Sun Java Virtual Machine. If you're using Mozilla, be sure you download the Mozilla version of the plug-in.

  5. Invite Christopher Grayson and Diana Nelson to join the virtual team by completing the following steps:

    1. Under Team Membership , select Invite a User .

    2. Click Add .

    3. Click Search .

    4. Hold down the Ctrl key and select the CGrayson and DNelson users.

    5. Click Add .

    6. Click Send .

    7. Select Show Team Members . Notice that Christopher Grayson and Diana Nelson don't appear in the list. They need to accept the invitation .

  6. Accept the invitation to participate on the team by completing the following steps:

    1. In Virtual Office, select Logout .

    2. Log in as CGrayson with a password of novell .

    3. In the left frame, select Manage Virtual Team .

    4. In the Virtual Teams Inbox , select Perpetual Motion Core Team [Invitation] .

    5. Click Join .

    6. Under My Virtual Teams , select Perpetual Motion Core Team .

  7. Configure CGrayson's notification preferences by completing the following:

    1. Under Team Membership , select Set Notify Preferences .

    2. Under Notification Preferences , select all events.

    3. Click Save .

    4. When prompted that the preferences have been saved, click OK .

    5. Click Logout .

  8. As JJackson, provision the virtual team with project information by completing the following steps:

    1. Log back in as JJackson with a password of novell .

    2. Select the Perpetual Motion Core Team .

    3. Under Files , select Upload .

    4. In the Upload Files field, browse to and select a file (of your choosing).

    5. Click Upload .

    6. When prompted that the file has been uploaded, click Close . The file appears in the Files area.

    7. Select Show Team Calendar .

    8. Under Events , select New .

    9. In the Subject field, enter Core Team Meeting .

    10. Set the date to tomorrow's date.

    11. Set the time to 8:00 a.m.

    12. Mark Include Time .

    13. In the Location field, enter Conference Room B .

    14. In the Message field, enter Someone bring bagels!

    15. Click Save .

    16. When prompted that the event was created, click Close .

    17. Select Perpetual Motion Core Team .

    18. In the Discussion field, select New Message .

    19. In the Subject field, enter Marketing Question .

    20. In the Message field, enter How are we going to market our new perpetual motion engine?

    21. Click Post .

    22. Click Logout .

  9. Log in as CGrayson and view the information provided by JJackson by completing the following steps:

    1. Authenticate to Virtual Office as CGrayson with a password of novell .

    2. Select the Perpetual Motion Core Team .

    3. Note the new topic in the Discussion area and the file uploaded by JJackson.

    4. Check the team calendar by selecting Show Team Calendar .

    5. Under Events , select the Core Team Meeting event.

    6. Read the message and then click Close .

That's it for this exercise! You have a functioning Virtual Office system. By implementing this product, you can dramatically increase your users' productivity while decreasing the amount of time you'll need to spend retraining them on a new system.
