Customizing the Contacts Folder


You can customize Outlook to better suit the way you work with it. You can change the default sort order and the name order for contacts in the Contacts folder. You can also customize the views in the Contacts folder by adding, deleting, and reordering the fields that are shown. You can also create new fields. You may find that the fields displayed by default in the various views are not sufficient for your needs. You can easily change this. You can add more built-in fields, remove fields that you don't use, and create more fields to hold your contact data. You can also change the order in which fields are displayed.

Change the Default Sort Order and Name Format

Click the Tools menu, click Options, and then click the Contact Options button.

Click the Default "Full Name" Order list arrow, and then select the order in which you want the full name to appear.

Click the Default "File As" Order list arrow, and then select the order in which you want new contacts to be sorted.

Click OK.

Did You Know?

You can change the appearance of existing contacts . Change the appearance of existing contacts by double-clicking a contact, and then changing the data in the Full Name and Display As boxes. Click the File As list arrow, and then choose another format.

Modify the Fields in the Contacts Folder

Switch to the view that you want to modify, click the View menu, point to Arrange By, point to Current View, and then click Customize Current View.

TIMESAVER Click the Customize Current View link on the Navigation pane.

Click Fields.

Click a field you want to add to the current view, and then click the Add button.

Click a field you want to remove and then click the Remove button.

Click the New Field button to define a new field.

To reorder fields in the Contacts folder, click a field in the Show These Fields In This Order list, and then click the Move Up or Move Down buttons .

Click OK to close the Show Fields dialog box, and then click OK to close the Customize View dialog box.
