Copying Font Formatting

If you have carefully applied several font formats to one block of text and then decide that you'd like to use the same combination of formats somewhere else in the document, you don't have to apply the formatting from scratch. Instead, you can use Word's Format Painter feature to copy the formatting of the original block of text and then "paint" it across the other text.

In "Checking the Formatting of Your Text" at the end of Hour 7, you will learn how to review the formatting of your text with the Reveal Formatting feature. This feature provides another method for copying all of the formatting from one selection to another.

Follow these steps to copy font formatting:

  1. Click anywhere in the text that has the formatting you want to copy.

  2. Click the Format Painter button on the Formatting toolbar (see Figure 6.12).

  3. The mouse pointer becomes an I-beam with a paintbrush attached to it. Drag over the text to which you want to apply the formatting (see Figure 6.13).

  4. Release the mouse button. Word applies the formatting to the selected text (see Figure 6.14).

If you want to apply the same set of font formats to several blocks of text, double-click the Format Painter toolbar button in step 2. The Format Painter stays turned on while you drag over multiple blocks of text. When you're finished, click the button again to turn it off.
