Filling in a Form

To use a form that you or someone else has created, follow these steps:

  1. Choose File, New , and click On My Computer in the New Document task pane.

  2. In the Templates dialog box, select the form template, and click OK .

  3. Fill in the form fields. You can either click in each field or press Tab to move from field to field. Figure 19.13 shows the form used in the examples earlier in this hour after a user has filled in the fields. One of the drop-down lists is displayed so that you can see what it looks like.

  4. Save the document. Word will save it as a Word document ( .doc file) so that it doesn't overwrite your template. (You might want to think of a naming convention to use for all of the filled-in forms you base on this template so that you can store them in an organized way.)

If you position your form fields carefully , you can use a Word form to fill in the information in preprinted forms. For example, if you have preprinted invoices, you could create a Word form that matches the appearance of your printed form, with the form fields arranged in the positions they need to be in to print in the boxes in the printed form. When you are ready to print, load the preprinted forms in your printer, and choose File, Print. In the Print dialog box, click the Options button to display a second Print dialog box. Mark the Print Data Only for Forms check box, click OK, and then click OK again. Word will only print the contents of the form fields onto your preprinted forms.
