Correcting Grammar Errors Flagged by Word


When Word comes upon what it thinks is a possible grammar error in your document, it marks it with a green wavy line (see Figure 11.7). Depending on the error, it might complain about anything from a single space (it catches double spaces between words) to an entire paragraph.

To correct the grammar of text marked with a green wavy line, follow these steps:

  1. Right-click the underlined text.

  2. Word displays a context menu with suggested corrections.

  3. If you see a correction that makes sense, click it (see Figure 11.8).

  4. If you want to leave your text as is, click Ignore .

Word enables you to customize the kinds of things that the grammar checker looks for. If the grammar checker is not proving useful, you may want to first try tweaking its settings before you turn it off altogether. To do so, follow these steps:

  1. Choose Tools, Options to display the Options dialog box.

  2. Click the Spelling & Grammar tab, and click the Settings button to display the Grammar Settings dialog box (see Figure 11.9).

  3. Scroll down the list of the types of grammar and style issues that Word can flag, and choose the options you want. (Note that by default, none of the style issues are flagged.)

  4. When you are done, click OK .

Although the grammar checking feature is much better now than it was when Microsoft first introduced it, you may find that more often than not, you disagree with its suggestions or it misses obvious grammatical mistakes. If you want to turn off automatic grammar checking, follow these steps:

  1. Choose Tools, Options to display the Options dialog box.

  2. Click the Spelling & Grammar tab, and clear the Check Grammar As You Type check box (refer to Figure 11.6).

  3. If you just want to hide the green wavy lines in the current document but keep automatic grammar checking enabled, mark the Hide Grammatical Errors in This Document check box instead of clearing the Check Grammar As You Type check box.

  4. Click OK .
