Adding Page Numbers

Word offers two methods for adding page numbers to your document. First, you can use the Insert, Page Numbers command, as described here, to tell Word what type of page number you want and where it should appear. Word then adds the page number field to the header or footer for you. Second, you can enter the page number field by inserting it directly in the header or footer (see the next section). This second method gives you more control over the appearance of your page numbers, and you can add other text to the header or footer at the same time if you like. (A field is a "holding place" for information that can be updated. In this case, the page number field updates automatically to display the correct page number on each page. Later in this hour, you'll learn how to insert other fields in the header or footer, and in Hour 12, "Handy Editing Techniques," you learn about fields in more depth.)

To add the page number to your document using the Page Numbers dialog box, follow these steps:

  1. Choose Insert, Page Numbers to display the Page Numbers dialog box (see Figure 8.5).

  2. If you want the number at the bottom of the page, skip to the next step. To place the number at the top of the page, display the Position drop-down list and choose Top of Page (Header) .

  3. Display the Alignment drop-down list and choose the alignment you prefer for your page numbers.

  4. Clear the Show Number on First Page check box if you don't want the page number to print on the first page of your document.

  5. Click the OK button.

If you clear the Show Number on First Page check box, Word creates a first page header or first page footer and leaves it blank. (You'll learn more about this in "Creating a Different Header or Footer on the First or Odd and Even Pages" later in this hour.)

If you need the page numbering to start on a number other than 1, click the Format button in the Page Numbers dialog box to display the Page Number Format dialog box. Type the desired number in the Start At text box, and click OK.


You can view your page numbersand any other text in the header or footerin Print Layout view and Print Preview, among others. Page numbers are not visible in Normal view.

Removing a page number field that you inserted via the Page Numbers dialog box is easier said than done. First, display the header or footer and activate the footer area if necessary (see the next section). Depending on how Word is set to display fields on your computer, the page number may appear with a light gray background. (If it isn't gray now, it may turn gray when you click it.) Click the page number. A crosshatched box appears around it. Point to this box (your mouse pointer changes to a four-headed arrow) and click it to select itsmall black squares appear on all four sides of the box. At this point, you can press the Delete key to remove the field. Thankfully, when you insert the page number field using the Header and Footer toolbar, as described in "Inserting the Page Number or Date in the Header or Footer" later in this hour, the field is not enclosed in a crosshatched box. You can simply drag over it and press Delete to get rid of it.
