Copying Paragraph Formatting


In the last hour, you learned how to copy font formatting from one part of your document to another by using the Format Painter toolbar button. You can also use the Format Painter button to copy paragraph formattingincluding all of the formatting you've learned about in this hour from one paragraph to another.

The steps you use to copy paragraph formatting are the same general ones you used to copy font formatting in Hour 6:

  1. Select the paragraph containing the formatting you want to copy. Word stores the paragraph-formatting information for a paragraph in the paragraph mark at the end of the paragraph, so you have to make sure to include it in the selection. (If you aren't sure whether it's selected, turn on the Show/Hide button on the Standard toolbar.)

  2. Click the Format Painter button on the Formatting toolbar.

  3. A paintbrush is now attached to the I-beam mouse pointer. Click in the paragraph to which you want to apply the formatting.

The paragraph formatting is copied to the second paragraph. If you want to copy the formatting to several paragraphs, double-click the Format Painter button in step 2. It stays on while you click in multiple paragraphs. When you are finished using it, click it again to turn it off.
