Finishing a Label Mail Merge

Select your data source in the Select Data Source dialog box, and click Open .

The Mail Merge Recipients dialog box appears. Sort and edit your address list (see "Sorting and Editing the Recipient List" earlier in this part), and then click OK .

Click Next: Arrange your labels at the bottom of the Mail Merge task pane.

The insertion point appears in the upper-left label where your address block field should go. Click the Address block link in the Mail Merge task pane.

INTRODUCTION

In this task, you complete the mail-merge process to print your labels. As with letters and envelopes, you have the option of sorting your recipient list before merging. In this task, you will insert a merge field for the address block, and choose whether you want to send the merged labels directly to the printer or display them onscreen first.

Make the desired selections in the Insert Address Block dialog box, and click OK .

Click the Update all labels button to copy the label format from the upper-left label to the remaining labels on the page, and then click Next: Preview your labels .

Follow the steps described in "Previewing Your Merged Letters" and "Running the Merge" earlier in this part. If you merge to a new document, the merged labels will be called Labels1.

TIP

Running the Same Merge Again

There is usually no need to save the labels you generate in a mail merge, because you can always merge the same main document and data source to regenerate them. Furthermore, running the merge again ensures that you merge in the most current information from your data source. When you want to run the same merge in the future, open the main document and click the Merge to New Document button or Merge to Printer button at the right end of the Mail Merge toolbar. In contrast, you do need to save your main document if you want to use it in the future.
