Working with the Task List to Keep Everyone Informed


Task View helps you keep track of the steps involved in completing your FrontPage-based Web. It s useful not only for you, but also for any co-workers or friends who are working on the Web with you. Task View doesn t just give you a to-do list of the jobs that remain to be done, however. You can also mark those pages that are finished as Completed, so the members of your team can see where you are, and what needs to be addressed next .

Review the Task List

After a Web site has been created and is online, you might be called upon to perform regular updates. You might receive new files from writers; editors and designers might need to work on pages to change colors or images. When you re part of a larger workgroup of individuals with different responsibilities, you need to keep track of who has worked on a file, and when the work has been completed, to ensure you don t duplicate effort or miss important stages. The need to track workflow becomes more important if more than one team member needs to work on a Web page, and if workers are scattered in different locations. To review the Task List:

  1. Open the Web with the tasks you want to review.

  2. Select View, Tasks. The Task List opens (see Figure 19-12).

Note  

A filename appears only in the Associated With column in Task View if you create a task while you are editing a page. If that is the case, the name of the page you are editing appears in the Associated With column in Task View.

Add a Task

If you don t yet have any tasks created for the current Web, you need to add one or more tasks by doing the following:

  1. Right-click a blank part of Task View area.

  2. Choose Add Task from the shortcut menu.

  3. Type a name for the new task in the Task Name box.

  4. Click one of the three Priority buttons to assign a priority level to the task.

  5. Type the name of the individual who is to perform the task in the Assigned To box.

  6. Type a description of the task in the Description box.

  7. Click OK.

Note  

If the task you want to add is associated with the editing of a specific page in your Web, it s better to choose Task from the New submenu of the File menu, in order to create a task. When you choose Task, the task becomes associated with the file you re currently editing. You can then start the task by clicking the Start Task button in the Edit Task dialog box. If you right-click the Task View area, and choose Add Task from the shortcut menu, the task is not associated with a particular file.

Mark a Task as Complete

Once you have completed a task on the Task List, you need to mark it as complete, so that no one opens the file unnecessarily or begins to work on it. Just:

  1. Right-click the task.

  2. Choose Mark Complete from the shortcut menu.

If you need to delete a Task, right-click it, then choose Delete Task from the shortcut menu. Click OK to confirm that you want to delete the task.

Prioritize Your Tasks
You can change the order in which tasks are sorted. (By default, FrontPage sorts tasks from highest priority to lowest priority. To change the sort order, click the Priority heading.
