Best Practices


  • Use subject matter experts, working with representatives from various user groups within the organization, to define area structures. The subject matter expert will be familiar with the information available, and the user groups will know what information is accessed most often and how it is accessed.

  • When planning source groups, creating a source group for each content source provides a means for defining source scopes that include just that one content source. A source group can also be created for each content index, enabling defining a search scope for all content included in that index.

  • Enable advanced search administration mode for creating and managing additional content indexes, content source groups, and multiple Site Directory content sources.

  • Use full index update when a new content source is added, files are renamed within a content source, or a new rule is created.

  • Use incremental updates after the initial full index crawl of a content source for maintaining an up-to-date index. If the content is mission critical and is frequently changing, updates could be scheduled intermittently throughout the day. If the content is not mission critical and is not highly volatile, updates can be scheduled once or twice a week.

  • With regard to index updates, a general overall recommendation is to run full updates infrequently, only when something changes that necessitates a full update. If the user environment is dependent on searching and retrieving information from sources that are frequently changing, run incremental or adaptive updates periodically throughout the day; then perform full updates at a time when resource utilization on the server is at its lowest.

  • Define keyword Best Bet items to mark specific documents or items as most relevant for a search keyword.
