Copying Files by Using the Explorer View


The main reason most people use the Explorer view is to move documents from one library to another. As discussed previously in Lesson 5, "Document Library Basics," and Lesson 6, "Picture Library Basics," a SharePoint document library or picture library provides the Upload a file or Add a picture option in the toolbar. This opens a new window that allows you to browse for one or more documents you want to upload and to enter in metadata information, if the library has metadata columns added. If you use the Explorer view instead, you won't get prompted to add in this metadata, but you will need to add it later. Therefore, using the Explorer view is sort of "cheating" in that you can bypass the requirements of adding metadata information by simply dragging and dropping within this view.

To drag and drop items, follow these steps:

Select Explorer View from within a document library or picture library. Choose Yes if prompted to display nonsecure items.

Open My Computer and navigate to the folder that contains the file you want to copy. (You can also select multiples files by holding down the Shift key while clicking multiple files or by dragging a selection box around these files.)

3.

Click the file in Windows Explorer and drag it to the SharePoint Explorer View window and drop the file there. A dialog box will show the copying process.

Alternatively, you can right-click the file in Windows Explorer and select Copy. Then switch to the Explorer view of the library, right-click in the area containing the documents, click Yes on the warning message box that appears, and select Paste from the pop-up menu.

CAUTION

Notice in Figure 10.5 the Forms folder in the Team Photos picture library. This folder exists in all document libraries and contains the page that SharePoint uses to display the items contained in the library (AllItems.aspx), the page that displays when you are uploading a document (Upload.aspx), the Explorer view ASPX page (WebFldr.aspx), and others. Do not delete any of the files in the Forms folder because the library will no longer be able to provide the functionality of the deleted form!
