Other Types of Metadata


Other types of metadata are available as well (as shown in Figure 9.4) and are also available from the Add Column page (referenced as fldNew.aspx in the URL). These are described here, and although some are pretty self-explanatory, such as Date and Time, others require some more explanation and some experimentation to use properly.

  • Date and Time You can choose to only have the date entered or the date and the time. This field can default to today's date and time, a specific date, or a calculated value (such as 30 days in the future).

  • Lookup (information already on this site) This item is a bit tricky. SharePoint provides a list in drop-down format of the lists on the same site from which you can choose information. You then choose from the provided list which column to select information from in the other list. An example of where this is useful would be pulling product part numbers from another list on the same site that contains this information, or pulling information from the contacts list, such as email address.

  • Yes/No (check box) If this type of metadata is selected, the user will get a check box when uploading a document or editing a list in Datasheet view. If it is empty it means no, and if it is checked it means yes.

  • Hyperlink or Picture Allows you to display a hyperlink to a web page or display an image from the Web. The user enters in a URL. It is then displayed in the library as a URL that can be clicked to take the user to that location, or, if the URL leads to a valid graphic image, the picture will be shown. Note that if a picture is shown, it can't be clicked.

  • Calculated (calculation based on other columns) This is the final option shown in Figure 9.4, and it's also a fairly tricky one to master. A simple example is to enter =Column1+Column2, which will add the values in columns 1 and 2 and display the value.
