Textual Metadata


Metadata can be in textual form, and SharePoint gives you the following options for the input:

  • Single line of text One line of text of up to 255 characters can be entered. This helps limit the amount of text entered. It often makes sense to reduce the total number of characters that can be entered based on the kind of information you are expecting. For example, if this column is for a color choice, 25 characters are probably enough, so this setting will stop users from entering long strings of information.

  • Multiple lines of text You can enter in the number of lines of text that can be input. The hard limit for the number of lines is 1,000, but it's hard to think of a reason to allow for more than 5 or 10 lines of information to be input, even for comments.

  • Choice (menu to choose from) If selected, this option allows you to enter in the choices that will appear in the drop-down menu. Delete the default options and then enter in your choices, with a hard return after each. You can allow users the option of choosing more than one item from the list, or you can let them add their own choice if you select yes below Allow fill-in choices.

TIP

The Choice (menu to choose from) type of information is very helpful in ensuring the users are using an approved selection to describe a document being uploaded. For example, if you choose a Single line of text instead of a Choice field, users can type in whatever they want instead of picking from a list of options.
